Job responsibilities include, but are not limited to the following:

  • Stocking and miscellaneous invoice entry, along with GL coding
  • Matching packing lists with stocking invoices
  • Receiving stocking invoices for Safe Harbor (business software)
  • Month end processing for Safe Harbor
  • Verifying stocking and miscellaneous costs
  • Verifying freight costs, matching to quotes
  • Getting manager approval on high dollar invoices and miscellaneous invoices
  • Verifying and calculating mark ups on 3rd party invoicing.
  • Taking discounts on invoices where applicable.
  • Check printing, manual checks, mailing checks
  • Some online payment processing
  • Reporting checks via Positive Pay daily
  • Credit card payments and breakdowns for all companies. Attaching receipts, verifying charges and getting manager approvals where applicable.
  • Updating monthly credit card payment excel spreadsheet
  • UPS/FedEx/freight shipment breakdowns for all companies
  • Postage meter maintenance, postage refilling, file updating, cost breakdowns for all companies via monthly spreadsheet
  • Generating sales tax certificates, completing supplier credit applications
  • Filing, maintaining/organizing file room
  • Keeping independent Contractor file
  • 1099 reports
