United Way of Greater Milwaukee & Waukesha County (UWGMWC) is currently seeking applicants for our 2019 Volunteer Engagement Administrative Loaned Executive (ALE) position. This ALE role is a full-time (37.5 hours per week) temporary position from August 5 – December 11, 2019. The Volunteer Engagement Administrative Loaned Executive assists in the successful support and facilitation of United Way’s largest volunteer engagement period – the fall “Season of Caring” which takes place throughout the duration of the Community Giving Campaign, as well as assisting with additional large-scale signature volunteer activities as needed. The ideal candidate has excellent customer service and time management skills and is proficient in the use of technology platforms for data management and communications. In addition, the candidate is a self-starter who can execute tasks with little direction and oversight. This position will spend 40% of their time at the United Way office supporting a variety of administrative tasks and 60% of their time off-site supporting signature events and on-site volunteer project logistical activities. Duties & Responsibilities
Assist with the delivery, set-up of supplies and volunteer experience for on-site projects at local workplaces and signature events
Inventory volunteer project supply orders when delivered to United Way to ensure supplies are sufficient for future volunteer events
Set up volunteer project/event supply staging in loading dock on a weekly basis
Support United Way staff team in the implementation and execution of the annual Holiday Giving Tree program supporting data entry and distribution of information to nonprofits and corporate groups
Provide daily lunch hour welcome and reception desk coverage at United Way’s Volunteer Center
Drive the Volunteer Van and support the delivery of completed on-site kits to partner agencies
Support supply drives that occur during the fall campaign timeframe including inventory, valuation and delivery to Community Schools and partner agencies
Visit volunteer projects and provide a United Way welcome and overview at the start of volunteer activities
Support pre-event and post-event volunteer communications to share logistics and secure event outcomes
Enter data into organizational database ensuring volunteer coordinator contact information is current and accurate
Manage the inventory and distribution of Live United t-shirts for signature events and customer requests
Solicit and research volunteer project options for corporate and community partners on an ongoing basis
Assist with communicating volunteer event dates with appropriate resource development staff and data collection
Conduct reminder and check-in calls to volunteer coordinators at both companies and nonprofit agencies prior to their projects and field any final questions
Conduct reminder and check-in calls to volunteers attending upcoming signature events
Support signature events volunteer check-in and registration
Manage promotional booths at community-wide and company-specific events promoting volunteerism
Assist with the administrative affairs of the Volunteer Engagement Department, including general organizing, project planning, scheduling, basic business correspondence and follow-through
Anticipate potential problems and develop solutions, following through to ensure preparedness and orderliness
Use Microsoft Office including Word, Excel, PowerPoint and Outlook for effective division administration
Assist with coordination of details for volunteer, corporate and campaign activities as assigned
Key Qualifications
High School diploma or GED.
Valid driver’s license, reliable automobile, and auto insurance coverage. (Ability to drive company van to meetings, appointments and events.)
Ability to lift up to 50 pounds and to walk, sit and stand for extended periods.
Use Microsoft Office including Word, Excel, PowerPoint and Outlook for effective division administration.
Experience in data entry.
Demonstrated success in customer service.
