Job Description

POSITION SUMMARY:

Under the supervision of the Director of the Wellness and Recovery After Psychosis (WRAP) Program, the Project Management Specialist will provide complex administrative and research project management for the WRAP Program. This specific Project Management Specialist position will involve managing the clinical trials and other clinical research activities of the WRAP Program, primarily working with participants with schizophrenia and other psychosis-related mental health disorders. Additionally, the position will perform administrative responsibilities coordinating the WRAP clinic, as well as overseeing clinical assessments, data collection, and database management. The Project Management Specialist will be responsible for coordinating multiple projects to ensure overall program success. This is a hybrid role.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Research Study Management:

  • Coordinates and facilitates research project management life cycle, including initiation, development, and implementation of WRAP projects.

  • Coordinates multi-site research teams, and manages research project timelines, to ensure research milestones are completed within the specified and in line with annual objectives.

  • Works with the WRAP research team to facilitate and ensure protocol adherence, quality assurance, and HIPAA compliance

  • Collects data, summarizes and interprets research data.

  • Oversees recruitment and enrollment of study participants, including explaining research procedures & protocols, and obtaining informed consent of participants and/or their families.

  • Obtains and distributes reimbursements/participation vouchers and/or payments.

  • Schedules appointments of study participants; conducts reminder phone calls and/or sends mailouts.

  • Participates in the development of questionnaires, surveys, interview guides.

Staff Management

  • Provides mentorship and guidance to junior members of the team, including co-ops, undergraduate student interns, practicum students, medical students, and volunteers.

  • Oversees and conducts all functions needed to support Director of WRAP, Director of WRAP Psychological Services, Director of WRAP Specialty Clinics.

  • In partnership with Director of WRAP, Senior Research Manager, and Director of Grants and Contracts, assists with hiring and onboarding new WRAP research and clinical support staff, including co-ops, per diem research assistants, per diem data analysts, peer specialists.

Program Management:

  • Provides leadership to WRAP program team by developing protocols and facilitating team meetings.

  • Ensures that minutes are taken, edited, and distributed.

  • Also helps schedule meetings for the team.

  • Promotes an environment that encourages effective knowledge and contribution.

  • Promotes project team efforts and shared sense of purpose so that work is synchronized and concurrent, knowledge is shared and seamless deliverables are provided.

  • Tracks, analyzes, and makes recommendations on status reports, issue resolution.

  • Contributes to the development of NIH, DMH, and foundation progress reports.

  • Assists with grant writing and compiling grant application materials in partnership with WRAP Director, WRAP Director of Psychological Services, Grants and Contracts Director, Senior Research Manager, and the Development Office.

  • May assist with ordering supplies for the team. Manages WRAP BMC and BUMC webpages.

  • Coordinates WRAP conference and presentations.

  • Oversees the administration of study questionnaires, conducts qualitative interviews, facilitates focus group discussions, and assists study participants in navigating through questionnaires.

  • Identifies participants with significant clinical concerns and relays this information to the WRAP Director.

  • Liaisons with the Institutional Review Board (IRB) for submissions, correspondence, and regulatory binders, including administrative amendments, and continuing reviews.

  • Perform administrative duties associated with the study's Data Monitoring and Safety Board, tracking and reporting adverse events and collecting data specified by the DMSB.

  • Works with research team to develop presentations, abstracts and manuscripts.

Other:

  • Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided.

  • Utilizes hospital's behavioral standards as the basis for decision making and to support the department's and the hospital's goals.

  • Follows established hospital infection control and safety procedures. Performs other duties as needed.

JOB REQUIREMENTS

EDUCATION:

  • Bachelor's degree required

EXPERIENCE:

  • Three to five years minimum of project or healthcare administration experience.

KNOWLEDGE AND SKILLS:

  • Strong computer skills are essential (high level Microsoft Office products to include: PowerPoint/Excel/Word /Access, as well as Outlook, and Visio).

  • Outstanding communication skills, interpersonal skills, and the ability to build value-added relationships with individuals at all levels while providing superior customer service.

  • Positive contributor and a strong commitment to quality are essential.

  • Strong time management, organizational skills and the ability to multitask are a must.

  • Excellent judgment, with strong analytical and detail-oriented skills, is essential.

  • Ability to work in a fast-paced environment that changes rapidly to fit the needs.

  • Must be team-oriented.
