Job Responsibilities: | |||||||||||
Position Summary: This position assists and supports the daily operation of Milwaukee Youth Court Service Programs including, but not limited to: Shelter Care - Rashid & Bahiya, Community Service Restitution Coordination (CSRC), Aspire, and future state youth programs in Milwaukee. The position will also support Waukesha Youth programs, when needed including Intensive Supervision, Intensive Tracking and Youth Advocate Services. The Program and Quality Support Specialist will split time amongst different programs providing quality assurance and reporting to ensure contract compliance, as well as other duties as assigned. The position will report directly to the Vice President. Essential Functions: 1. Utilize Microsoft Suite programs (Lists, Forms, Excel, Outlook) to enhance organization of quality assurance data. 2. Utilize existing audit forms and processes, and work with the VP to develop and complete program specific reports to support file audits. 3. Facilitate and conduct weekly Quality Assurance (QA) audits with the program managers and submit a summary report to the VP and Director of Milwaukee Youth Services (this typically occurs on Fridays but can be rescheduled for a Thursday or Monday if vacation). The Director of Milw. Youth Services will be the back-up. If needed establish deadlines for the program managers with the VP for completion of missing data. 4. Complete weekly census reports for CSRC and Aspire programs, and update the Desk Review document. Submit census reports to: csrc@wiscs.org for CSRC and aspire@wiscs.org for Aspire, as well as to Milwaukee County to dcsdadmin@milwaukeecountywi.gov, regina.whiyee@milwaukeecounty.gov and angela.curasi@milwaukeecountywi.gov. Always copy the VP. Submit the Desk Review to sccarpenter@wiscs.org. 5. Complete weekly audits of the Shelter Care shadow files following the State Licensing Checklist, maintained by Human Resources, and work directly with the Director of Milw. Youth Services and Assistant Program Director, as well as HR to obtain missing information the same week. 6. Organize and enter monthly admission/discharge data in a timely manner in the Awards platform for CSRC and Aspire (ensure the Healthy Youth checkbox for Aspire youth). 7. Facilitate youth surveys for CSRC, Aspire, Shelter Care (Rashid and Bahiya) programs and Healthy Youth via Teams or in person and enter survey result data in Microsoft Forms, send results to the VP and Director of Youth Services. 8. Train and participate in Empathy Interviews with youth and program staff for all youth programs in Milwaukee and Waukesha with a designated team of WCS employees to ensure all programs employ a Trauma Informed and Person Centered Approach in service delivery. 9. Support the VP and lead quality assurance functions to ensure programs remain in full contract compliance. 10. For the Project Excel site for both CSRC and Aspire, develop monthly program calendars according to the contractual requirements, and ensure adherence to the calendar with programming and documentation (PE Puzzle). All documentation must match the calendar for each youth based on attendance, including signed attendance logs, hard file documentation, Synthesis, SecurManage and Discharge Summaries, Restitution Reports, and Check Requests. 11. For CYFS programming, at the Project Excel site and Shelter, support the VP and Director of Milwaukee Youth Services with ensuring all data is timely, entered, and accurate for Paid for Performance Outcomes each quarter prior to the scheduled deadlines. 12. Participate in the Annual Action Plans with the VP and Director of Youth Services, assist with record keeping and developing reports to be reviewed and submitted by the VP. 13. Participate in annual audits of the Milwaukee CYFS youth programs with the VP and Director of Milwaukee Youth Services, including required data and reporting, logic models, and other required information. 14. Update and monitor records in online databases (Synthesis, SecureManage, and Awards) to support program leaders in printing and obtaining records, auditing records, and orientating staff to the database. 15. Train new employees and leaders on the required databases and monitor their progress and compliance through weekly QA Checks every Friday. 16. Schedule training and enter staff training records in online training database for all Licensing, agency and funder required trainings (according to the Staff & Leader Orientation & Training Plans developed by the VP), and turn in completed forms to the VP for each employee. 17. Support staff to remain in compliance with all WCS policies and procedures (Power DMS). 18. Utilize the Continuous Quality Improvement spreadsheets for each program, to track and monitor systems to ensure compliance and add efficiencies to operations. 19. Uphold and promote a positive and supportive culture for individuals served and program staff and leaders. 20. Maintain confidentiality for persons served within all written and verbal communications. 21. Adhere to State Licensing requirements. 22. Adhere to WCS Policies and Procedures. 23.
