Job Roles

  • Administers the day-to-day responsibilities of the program.
  • Assists in the development of and maintenance of all department policies and procedures pertaining to staff and residents.
  • Collects, compiles, and enters program data into a variety of databases and files; creates reports geared to appropriate audience.
  • Coordinates all aspects of the resident recruitment process, including recruitment, tour requests, visitations, interviews, and Welcome Orientation meetings.
  • Coordinates and schedules program activities, events, and elements, such as program meetings, weekly resident didactic curriculum, and presentations; oversees audio/visual equipment, catering, and other program elements.
  • Creates and proof-reads program and departmental correspondence, including responses to external verification requests, audits, and potential program participants/sponsors.
  • Ensures compliance with accreditation requirements, including ACGME and THCGME, through excellent recordkeeping, maintaining audit readiness, and ensuring evaluation processes are completed in a timely basis.
  • Ensures resident engagement to maximize program participation and results, through evaluation, proposal of best practices, communication and relationship building with residents and staff, hosting resident events, and conducting resident surveys.
  • Maintains and updates Residency Program website in conjunction with IT department.
  • Maintains resident personnel files, confidential correspondence, teaching, and performance evaluations.
  • Represents Residency Program Manager on program and administrative matters as delegated.
  • Performs other duties as assigned.

Education/Certifications/Licenses/Registrations

  • Bachelor's degree in healthcare administration or related field preferred.
  • Training Administrators of Graduate Medical Education (TAGME) certification preferred; if not certified, eligibility and willingness to become certified within two years of hire.
  • Ability and means to travel as needed in a timely manner within San Diego County. DRIVER REQUIREMENTS: Requires an active Class C California driver's license, proof of liability insurance at $100,000, on vehicle used. No more than 2 points in past 12 months; No suspensions in last 2 years for moving violations; No DUI, reckless or felony Driving within 5 years. No license revocation in 7 years.

Experience/Specialized skills (including Language)

  • 2 years administrative experience coordinating a residency or similar program.
  • 3 years experience coordinating a residency or fellowship program in an academic setting preferred.
  • Ability to exercise discretion and maintain confidential information.
  • Ability to meet established deadlines.
  • Ability to relate well with team members, coworkers, and other departmental staff.
  • Ability to work flexible hours.
  • Ability to work in a fast-paced environment with multiple priorities.
  • Ability to work independently as well as working effectively in a team.
  • Demonstrated skills in computer software and systems, specifically Microsoft Office, ERAS, Oasis, and New Innovations systems.
  • Exceptional organizational, time-management, attention-to-detail, and prioritization skills.
  • Knowledge of business English, including proper grammar, spelling, and punctuation.
  • Strong interpersonal and customer service skills.
  • Strong written and verbal communication skills.
  • Thorough knowledge of ACGME and THCGME program responsibilities, standards, processes, and procedures.

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
