The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Gertrude H. Sergievsky Center is seeking an administrative coordinator to provide general administrative support to the Co-Director and the Director of the Center of Statistical Genetics. Under the supervision of these two leads, the incumbent will coordinate specific administrative tasks for ongoing projects and operations.

Responsibilities

  • Works with the two leads to update and maintain calendars.
  • Coordinate event logistics, which include daily/weekly/monthly meetings, conferences, travel arrangements and registrations.
  • Prepare travel reimbursements and provide backup documentation.
  • Prepares correspondence, reports, forms, vouchers, work orders, and specialized documents related to the activities from drafts, notes, brief instructions; proofreads materials for accuracy, completeness, compliance with departmental policies, formatting, and correct English usage, including grammar, punctuation, and spelling.
  • Performs difficult, complex, technical, and/or specialized office support work, which requires the exercise of independent judgment, the application of technical skills, and detailed knowledge of the activities and procedures specific to the department.
  • Assist with bibliographic management and insertion of references into reports and manuscripts.
  • Assist with preparation of figures for manuscripts, posters and presentations.
  • Assist with advertising, scheduling interviews, and hiring fellows in the training programs.
  • Assist with logistics of outside visitors, which includes arranging phone calls, scheduling interviews and meetings, and coordinating transportation and hotel.
  • Assist with scheduling research team zoom calls and maintaining documentation.
  • Follow-up with different business offices on research agreements, sponsor payments, and contracts as assigned.
  • Assist in grant submission including formatting of biosketches.
  • Assist in institutional review board submissions and annual reports and maintaining appropriate MTAs and DSAs as needed.
  • Provide front desk support for incoming guests, packages and phone calls.
  • Perform other related duties and responsibilities as assigned/requested.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus three years of related experience

Preferred Qualifications

  • Tact and good judgment in confidential situations and proven experience interacting with senior management is essential as well as excellent customer service and superior verbal and written communication skills.
  • Must be detail-oriented, adaptable, and work as a team player in a fast-paced environment.
  • Highly proficient in Microsoft Office skills, including the ability to utilize advanced features in Outlook, Zoom, one drive, end note.

  • Ability to complete multiple tasks with competing priorities as well as to perform daily tasks with confidentiality and discretion, is required.
