JOB SUMMARY

The Administrative Assistant reports to the Program Director and works collaboratively with the Program Director. The Administrative Assistant is responsible for administrative and technical support to aid in managing the Bridge Point program daily. The Administrative Assistant will support the Program with records keeping, billing, filing and other office related duties. The Administrative Assistant will work to maintain up-to-date program data entry to ensure contract compliance.

ESSENTIAL JOB RESPONSIBILITIES

  1. Provide administrative support to the Program Director in the daily management of operations and completion of their duties. In addition to completing complex administrative support assignments and assisting in program-related projects.
  2. Assist the Program Director with maintaining accurate and detailed records, verifying the accuracy of the information, researching discrepancies, and recording information.
  3. Assist the Program Director with coordination of staff meetings, trainings and any other events.
  4. Prepares, types, processes, copies, collates, and distributes a variety of documents requiring professional knowledge of the program's functions, which may include but are not limited to: Agendas, memorandum of understanding, confidential documents, informational packets, county/state/federal contract requirements, meeting minutes, charts, graphs, billing information, and outcome reports. Ensures proper filing of copies in program files.
  5. Responsible for examining payable invoices and supporting documentation and determining the validity of the request, allocation of costs, and proper authorization.
  6. Code accounts payable invoices to proper cost center and account. Enter data into the accounting system.
  7. Assist with other clerical and administrative work as required, which may include but is not limited to copying documents, filling, reviewing and processing mail, faxing information, greeting guests, answering the phone, scheduling appointments, meetings, conferences and travel, maintaining calendars, maintaining inventory of supplies and materials, etc.
  8. Organize work and sets priorities to meet established deadlines.
  9. Remain flexible and adaptable to changes in workloads and assignments.
  10. Write clearly, accurately, and concisely to convey ideas in grammatically correct reports, letters, and memos.
  11. Obtain training with the Fresno Madera Continuum of Care (FMCoC), the Homeless Management Information System (HMIS) and Coordinated Entry System (CES).
  12. Communicate effectively with Fresno County, Madera County and Turning Point Fiscal Office to verify billing.
  13. Consistently communicate with the Program Director and Staff to process all intakes and discharges effectively.
  14. Complete a minimum of 16 hours of training annually per Turning Point training requirements and policy.
  15. Will drive on agency business as needed.
  16. Physical presence in the office is required.
  17. Think and act quickly and efficiently in emergencies.
  18. Provide the Program Director with timely reports on any unusual occurrences that might impact the overall program operation or the health and safety of clients or employees.

ESSENTIAL JOB REQUIREMENTS

  1. Education and Experience sufficient to demonstrate competency in the knowledge and skills specified. This may be obtained by completion of High School Diploma/GED and two (2) years of applicable work experience. Work experience may be substituted by completion of two (2) year or four (4) year college degree.
  2. Understand and follow complex oral and written instructions.
  3. Maintain accurate records, files and databases.
  4. Operate modern office equipment including computer equipment and specialized software application programs with an ability to operate within Wellsky Continuum of Care.
  5. Type accurately at speeds necessary for successful job performance.
  6. Demonstrate an ability to handle multiple priorities in an organized and efficient manner.
  7. Perform work effectively despite frequent interruptions and the pressure of deadlines.
  8. Perform required mathematical computations accurately and sufficiently to compute fractions, decimals, percentages, statistical analysis and record keeping.
  9. Intermediate to Advanced computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms
  10. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  11. Ability to pass a criminal background check.
  12. Ability to pass a pre-employment drug screen and TB test.
