Job Summary:

The Asset and Vendor Management Specialist is a pivotal role within our organization, responsible for maintaining the integrity of our assets and managing vendor relationships efficiently. This position plays a crucial role in ensuring that our technology infrastructure operates smoothly, efficiently, and in compliance with relevant standards.

Responsibilities and Duties:

  • Leverage ServiceNow ITOM: Utilize the ServiceNow IT Operations Management (ITOM) suite to establish and maintain a robust asset management system. This involves setting up assets within Service Catalogs and the Configuration Management Database (CMDB).
  • Cross-Functional Collaboration: Collaborate seamlessly with cross-functional teams to guarantee that asset information within the ServiceNow platform is accurate and up to date. Effective communication and collaboration are key aspects of this role.
  • Data Audits and Reconciliation: Regularly conduct audits and reconciliation of asset data to maintain data integrity. Identifying discrepancies and taking corrective actions is an essential part of this responsibility.
  • Policy Development: Develop and implement asset management policies, procedures, and best practices. These guidelines will be crucial in maintaining a standardized approach to asset management.
  • Vendor Relationship Management: Act as the primary point of contact for vendor management activities. Building and nurturing strong relationships with vendors is vital to optimize costs and ensure service quality.
  • Performance Monitoring: Monitor vendor performance and compliance, proactively addressing issues and recommending improvements where necessary.
  • Vendor Selection: Assist in vendor selection, evaluation, and onboarding processes, ensuring that vendors meet our standards and expectations.
  • Initiate Asset Optimization: Lead efforts to optimize asset utilization, minimize waste, and reduce costs. Identifying opportunities for consolidation and retirement is part of this ongoing optimization process.
  • Asset Lifecycle Management: Implement and maintain a comprehensive asset lifecycle management strategy within ServiceNow ITOM. Ensure assets are tracked from acquisition through disposal, minimizing the risk of overspending on redundant or obsolete assets.
  • Process Improvement: Continuously improve asset management processes, workflows, and automation within the ServiceNow platform. Streamlining processes will enhance efficiency and accuracy.
  • Requirements Identification: Collaborate closely with IT teams to identify, assess, and prioritize asset-related requirements. Ensuring alignment with our business objectives is essential to support our growth and innovation.
  • Data Audits and Corrections: Conduct regular audits and verifications of asset data within the CMDB. This meticulous examination helps identify discrepancies and anomalies that need correction.
  • Documentation: Develop and maintain comprehensive documentation related to asset management procedures, standards, and best practices. This documentation will serve as a valuable resource for the team.
  • Procurement Support: Work closely with procurement teams to ensure accurate recording and tracking of asset acquisitions, leases, and contracts within the ServiceNow platform. This ensures comprehensive visibility into our asset portfolio.
  • Team Training: Provide guidance and training to IT staff on asset management processes and the effective utilization of ServiceNow ITOM tools. Sharing knowledge and best practices enhances our collective capabilities.
  • Software License Compliance: Collaborate with software asset management (SAM) teams to ensure software license compliance. Performing reconciliation of software assets within the CMDB is a critical aspect of this role.
  • Reporting and Insights: Assist in the development of asset management-related reports and dashboards within ServiceNow. These reports provide valuable insights into asset performance, utilization, and compliance, supporting data-driven decision-making.
  • Vendor Governance: Establish and maintain robust vendor governance processes within the Information Technology portfolio, ensuring compliance with relevant policies and procedures.
  • Risk Assessment Support: Collaborate with Information Technology partners to ensure that all new and renewal service requests undergo comprehensive risk assessments. Assist in evaluating risk factors and ensuring risk is clearly understood by the requester.
  • Third-Party Risk Assessments: Contribute to the facilitation of third-party risk assessments, both for initial due diligence and ongoing oversight of third-party services. This includes collecting necessary documents, conducting analysis, and assessing third-party risk assessment questionnaire requirements.
  • Collaborative Stakeholder Engagement: Partner closely and coordinate with internal stakeholder areas, such as Information Security, Enterprise Risk Management, Business Continuity Program Office, Credit Administration, and Compliance. This collaboration is essential for facilitating and evaluating third-party service providers effectively.
  • Data Analysis and Maintenance: Perform data analysis related to third-party and contract data, drawing conclusions to support decision-making. Additionally, assist in the maintenance of third-party and contract data and related artifacts within systems, ensuring data accuracy and accessibility.

Job Skills and Qualifications:

To excel in this role, you should possess:

  • A bachelor's degree in accounting, Business, Computer Science, Information Systems/Technology, Engineering, or equivalent work experience.
  • Strong quantitative, analytical, and problem-solving skills.
  • Excellent communication and relationship-building skills.
  • A deep understanding of Asset Management tools and technologies, with experience in ServiceNow SAM and HAM modules being a plus.
  • Strong Excel skills for data analysis and reporting.
  • Knowledge of Software Asset Management principles and practices.
  • Familiarity with product use rights for publishers such as IBM, Microsoft, Oracle, SAP, Adobe, etc.
  • IAITAM or CSAM certification is a plus.

Requirements:

  • Strong problem-solving skills and a strong work ethic.

Additional Information:

This job is a hybrid position with a requirement to work a minimum of 4 days in-office per week. The remainder of the time can be worked remotely. Candidates must be willing to work flexible hours and respond to after-hours emergency situations as needed.
