Description

GENERAL FUNCIONS:

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. Under the direction of the Association Director of Business Operations, and in accordance with Association policies, the Registrar is part of a team that is responsible for organizing, processing, and maintaining all camp and school age registrations and related records while providing exceptional customer service to current and potential members in harmony with the mission statement and policies of the YMCA of Greater Waukesha County.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Process all new registrations, registration changes, and maintain an organized records system.
  2. Prepare weekly branch and association enrollment reports to communicate availability with front line staff.
  3. Communicate payment reminders via email and phone call where appropriate and ensure all past-due balances are fulfilled in a timely manner.
  4. Prepare and submit third party billing reports and communication with families receiving third-party support on a regular and ongoing basis.
  5. Scan and file all processed paperwork.
  6. Address member related questions, concerns, and problems as necessary.
  7. Collects and receipts payments for programs by following approved procedures, ensuring these payments are always secured.
  8. Responsible for strict adherence to all YMCA of Greater Waukesha County department policies and procedures related to safety, privacy, rules, and other regulations.
  9. Serve as a backup person for the Auditor Accounting Services and Auditor - Member positions.
  10. Perform other duties as assigned.
Qualifications

EDUCATION AND EXPERIENCE:

  1. High school diploma or equivalent.
  2. Proficiency in Microsoft Word and Excel.
  3. Strong organizational abilities as well as oral and written communication skills.
  4. Must be self-motivated, demonstrate sound decision-making skills, and require minimal supervision.
  5. Must be able to handle confidential information discreetly.
