Administrative Assistant II, Department of Orthopaedics

Position Highlights:

  • Position: Administrative Assistant II

  • Location: Skokie, IL

  • Full Time/Part Time: Full Time

  • Hours: Monday-Friday, during normal business hours

  • Required Travel: travel to other locations may be required

What you will do:

  • Provide administrative support for the Department of Orthopaedics, including but not limited to the physicians, director, practice managers and staff.

  • General office duties including answering phones, faxes, mail, greeting visitors, ordering supplies, scanning, filing, sending department emails, scheduling appointments, etc.

  • Schedules phone and virtual meetings and prepares agenda/paperwork for departmental meetings

  • Provide helpful and accurate information to patients, physicians, and others in a non-patient facing setting

  • Compiles timely reports and data tracking for Orthopaedic group using Excel spreadsheets

  • Collects pertinent data consistently and in a timely fashion to be used for financial analysis of Orthopaedic group

  • Submitting CME or any special requests (new equipment) as needed

  • Monitors office expenses and reviews accounting reports for accuracy

  • Ensures expenditure requisitions are completed to reconcile invoices for the Division

  • Orient, train, mentor, and cross-cover co-workers as necessary

What you will need:

  • Education: High school diploma required. College degree preferred.

  • Certification: n/a

  • Experience: 2+ years of related administrative/clerical support or scheduling experience required

  • Unique or Preferred Skills:

    • Knowledge of Microsoft Office suite Word and Excel, preferred

    • EPIC experience, preferred

    • Ability to problem solve and think creatively

    • Previous programmatic experience preferred

    • Must be a team player and possess excellent communication and customer service skills
