Orrick currently has an excellent opportunity for a Procurement Specialist-Administrative Assistant in the Wheeling, WV (GOIC) office.

Responsibilities

As a Procurement Specialist-Administrative Assistant in collaboration with IT Management and various members of the Firm, you will play a pivotal role in overseeing and streamlining IT expenditures. Your responsibilities will not only include monitoring and controlling the budget but also ensuring comprehensive training for IT staff on the appropriate allocation of funds. To effectively manage these tasks, you must become proficient in Orrick's IT Procurement system, Coupa, and acquire a thorough grasp of procurement fundamentals such as quotes, purchase orders, invoicing, payment terms, as well as distinctions between capital and operating expenses, leasing terms, and the nuances of contract management.

This role extends to performing administrative functions with an eye toward enhancing efficiency and productivity within the department. Your forward-thinking approach and prioritization of tasks with the greatest potential impact are crucial in promoting innovation and leveraging the firm's technology and support resources to their fullest potential. With a deep understanding of these resources and technologies, you will coordinate and delegate tasks to other support resources, ensuring quality outcomes. Additionally, you will directly handle tasks such as document production/assembly, expense reimbursement, and routine travel arrangements when necessary, all while maintaining the goal of elevating the department and firm's overall performance.

IT Procurement and Vendor Management

    Serve as an administrator, buyer, and requisitioner for the Firm's IT Procurement software. Maintain active users, workflow approvals, punchout catalogs, suppliers, and purchase order transmission methods.
  • Review all IT procurement requisitions for accurate budget and vendor selection. Correct where necessary and advise requestor via Coupa.
  • Act as liaison between vendor and requestor communicating execution of purchase orders, order confirmations, shipping dates, delivery disputes, payment dates, etc.
  • Stay up to date on Coupa releases to communicate new features/modules to users while ensuring instructional guides are modified to reflect updates.
  • Assist with budget adjustments in Coupa as directed.
  • As a member of the Mobile Management Team, you'll audit AT&T/Verizon billing allocations, Firm contribution review, ServiceNow record updates and Personal Charge inquiries.
  • Assisting in the preparation of the annual IT budget by researching historical spend and calculating projected growth.
  • Provide monthly coding of IT Procurement JP Morgan credit card to Finance.
  • Provide leasing support by communicating transfers, arranging lease-end intentions with local IT, monthly rent allocations, CSI approval of payments and review of "Exhibit A" newly leased devices and Certificate of Acceptance filing to SharePoint.
  • Upload all IT related contracts to our Coupa contract repository, CLM.
  • Assist with various administrative duties for department leadership, which includes reporting & analysis of spend per vendor contract.
  • Provide support in system integrations pertaining to any and all aspects of the role.
  • Punctually comply with IT's hybrid in-office/work from home schedule.

Administrative Assistant

  • Handles point to point travel, using Orrick's online booking tool CONCUR and coordinates with firm's travel agency on complex travel arrangements. Understand and applies firm travel guidelines.
  • Schedules both in-person and virtual meetings, events, teleconferences, and videoconferences and ensures all logistics are appropriately managed.
  • When needed, performs document edits; prepares redlines/comparisons; creates and edits worksheets and reports; formats documents.
  • Oversees creation of expense reports and payment and funds requests by WLARC and monitors for payment/completion.
  • Proactively coordinates all administrative details on projects as requested by IT team members; anticipates and plans, with the goal of reducing administrative burden.
  • Maintains and demonstrates technical fluency in the firm-licensed software and department specific tools and processes; leans into emerging technologies and adapts to new software quickly.
  • Prioritizes and helps department members meet due dates for important and deadline driven tasks.
  • Prepares reports and financial data as requested.
  • Data entry and maintenance as requested by IT Management.
  • Contribute to an environment of innovation - "See something, say something."
  • Proactively identify and make suggestions for process improvement.
Qualifications
  • A/A.S. degree or equivalent work experience (5 years of clerical experience, 3 of which must have included organization, coordination, and performance of duties at a responsible level required.)
  • Minimum of 3 - 5 years of experience working with computer systems. High level of computer literacy with spreadsheets, word processing, and database software and/or business systems required.
  • Ability to define and improve how processes, policies and tools are used in business decision making required.
  • Possess experience with information systems in a client service-oriented environment required.
  • Possess excellence in analysis, documentation and presentation tools required.
  • Possess strong communication, organizational, interpersonal, and analytical skills required.
  • Must have strong attention to detail and be highly accurate.
  • Initiative in working with users and third parties required.
  • Advanced skills in Microsoft Office 2016 (or above) required.
  • Ability to carry out duties and responsibilities with limited supervision required.

Compensation and Benefits

The expected salary range for this position is between $45,000.00 and $57,000.00.

Orrick is committed to providing a comprehensive, competitive, and thoughtful total compensation package to our attorneys and staff, wherever they work. This compensation and benefits information is based on the Orrick's estimate as of the date of publication and may be modified in the future. The level of pay within the range will depend on a variety of job-related factors that may include, but not limited to, qualifications, relevant experience or education, particular skills or expertise, geography. Other compensation may include an annual discretionary merit bonus, which would be determined by Firm and individual performance.
