Position Summary:
  • The Division of Enrollment Management is a key campus thought partner that provides collaborative leadership in university-wide efforts, utilizing systematic, innovative, and synergistic approaches to leverage a data-informed enrollment strategy to improve market distinctiveness, and execute the campus strategic plan. The division comprises the offices of Enrollment Management, Financial Aid & Scholarships, University Registrar, and Undergraduate Admissions. The mission of the University Registrar is to provide academic support services in an atmosphere of prompt, accurate, and friendly service to the campus community through practices consistent with the mission and values of the university. The Office is responsible for maintaining student records, issuing reports of grades, and distributing official publications.
Under the supervision of the Deputy Registrar, uses professional concepts in drafting department schedule for courses, seminars, and special events, taking into consideration faculty leaves, preferences, and faculty course load, classroom availability, and enrollment figures. Schedule may be reviewed to ensure it meets the needs of students for degree progression. Independently obtains classrooms for courses taking into account the requirements and restrictions of the Campus Scheduling Office. Coordinates with Summer Session Administration for course changes and General Assignment Classroom requests. Independently reviews and analyzes all graduate and undergraduate course submissions for the Registrar's Office prior to their submission to the appropriate Academic Senate committee. Maintains and updates the University Registrar website.

The expected pay range for this recruitment is $24.71 - $28.99 (Hourly Rate). The Full Salary Range for the salary grade this position is assigned to is $24.71 - $41.86 (Hourly Rate).

Required:
  • One (1) to three (3) years of related experience or equivalent training.
  • Bachelor's degree in related area and / or equivalent experience / training
  • Ability to work independently and follow through on assignments with attention to accuracy and detail.
  • Written and verbal communication skills involving complicated information. Active listening skills.
  • Customer service orientation.
  • Interpersonal skills to work with department senior management, faculty, and students.
  • Ability in problem identification, reasoning, analysis to resolve an issue with a large number of parts that are affected by a number of interdependent variables.
  • Ability to find solutions to conflicting situations while acting diplomatically and maintaining fairness.
  • Organizational skills and ability to prioritize work, coordinate a number of projects simultaneously and meet deadlines in an environment of frequent interruptions and distractions.
  • Ability to work with people from diverse cultures.
  • Utilizes excellent constituent service skills with all interactions.
  • Ability to establish and maintain cooperative relationships with campus departments and university personnel.
  • Ability to analyze policies and procedures and make recommendations for change.
  • Ability to monitor administrative systems, then find and implement solutions to issues that arise.
  • Proficient computer skills including Microsoft Word, Excel, databases, e-mail, and web browsing applications.
  • Ability to write and edit textual content suitable for publication.
  • Ability to create basic textual layouts for publication and printing.


Preferred:
  • Knowledge of department, organization, and University policies, procedures, and practices with student records services and use of student information systems. Knowledge of University policies, processes, and procedures and of Federal and California laws pertaining to the privacy rights of students and access to student information. Working knowledge of 25LIVE or similar scheduling software.
