Position Overview: We are seeking a highly organized and detail-oriented Events Project Manager to join our team. The successful candidate will play a key role in supporting the Associate Director, Strategic Events with planning, coordinating, executing, and assessing large-scale events and meetings for ACE. The Events Project Manager will be responsible for managing all aspects of event coordination and speaker management, ensuring a seamless and engaging experience for participants.

Key Responsibilities:

  • Event Planning and Coordination:
    • Develops, manages, and tracks progress on project plans for a variety of events, including conferences, workshops, and networking sessions.
    • Develops and distributes project status reports to inform leadership of key metrics, timelines, and action items for events.
    • Monitors the success of key projects and ensures organizational dashboards reflect project status and metrics accurately.
    • Works with the appropriate staff to ensure contracts, agreements, and invoices for event vendors, speakers, etc. are processed and/or responded to in a timely manner.
    • In collaboration with the Associate Director, provides on-site event support and guidance to ensure a high-quality member experience at events.
    • Troubleshoot and address any issues that may arise during events.
  • Internal Stakeholder Engagement:
        • Collaborate with internal teams, committees, and leadership to align event goals with organizational objectives.
        • Identifies seasonality of the workflow to communicate cadence and capacity needs with necessary ACE departments and teams.
        • Organizes and facilitates meetings with internal stakeholders to ensure internal communication about events.
        • Captures meeting notes and action tasks lists using Teams / OneNote or other tech tools.
        • Coordinates the daily affairs of the team's logistical needs in event planning, meetings, team communications, and product development.
        • Work closely with department/team and marketing team to create promotional materials and strategies to drive event attendance.
      • Speaker Management and Content Coordination:
        • Collaborates with content development teams to ensure relevant and engaging topics for events.
        • Provide support in recruiting speakers, panelists, and moderators for events.
        • Provide guidance and support to speakers regarding presentation content, logistics, and event expectations.
        • Coordinate with speakers to gather presentation materials and ensure adherence to event themes.
      • Post-Event Evaluation:
        • Collaborates with appropriate team members to design and implement post-event evaluations to gather feedback and identify areas for improvement.
        • Conducts post-event assessment meetings with working groups as an internal evaluation and identifies key areas for improvement based on feedback.
        • In collaboration with the Associate Director, prepare comprehensive reports on event success and key metrics.

      Qualifications:

      • Bachelor's degree in event management, marketing, business, or a related field.
      • Proven experience as an events project manager, preferably in a higher education or association setting.
      • Strong project management skills with the ability to manage multiple tasks simultaneously.
      • Excellent communication and interpersonal skills.
      • Proficient in event management software and Microsoft Office Suite.
      • Ability to work independently and as part of a collaborative team.

      Working Conditions/Physical Effort:

      This is a Hybrid position. We require the selected candidate to live within the DMV area and able to come in at least two days per week. Our office is located at One Dupont Circle NW, Washington, DC 20036.
