Job Description

The Early Childhood portfolio has an opening for a full-time Administrative Manager, reporting to the Project Coordinator for the Institute for Home Visiting Workforce Development and Jackie Walorski Center for Evidence-Based Case Management. This position is open to US-based telecommuters.

The Institute for Home Visiting Workforce Development builds the capacity of home visiting programs to expand, support, and retain a diverse, highly qualified workforce. The project will focus on key activities include analyzing workforce trends, identifying effective strategies to support home visitors, and providing technical assistance to promote programs' use of these strategies. Housed within the Institute, the Jackie Walorski Center for Evidence-Based Case Management will advance the use of effective, strengths-based home visiting case management practices in home visiting. The Center team will identify, evaluate, and widely disseminate evidence-based case management best practices that achieve positive health and well-being outcomes for families.

You will:

  • Manage all aspects of in-person and virtual meetings (external and internal), and other events involving the Institute and Center including scheduling, preparation of documentation, note-taking, and follow-up
  • Manage travel and participation of project staff, partners, and stakeholders for in-person meetings and conferences
  • Maintain calendars for the project to optimize time and facilitate the exchange of information, providing appropriate reminders to the team
  • Collaborate with the team to optimize processes to ensure efficient work including but not limited to invoice processes, staff onboarding, product development, etc
  • Coordinate technology needs across project activities including Zoom, Microsoft Teams, Qualtrics and others
  • Support project website content management and liaise with the website team to support maintenance and updates
Qualifications

Education:

  • Associate's degree or equivalent years of training & experience

Skills & Experience:

  • 3-5 years related administrative coordination experience, including experience with 3 or more computer applications
  • Experience with project management tools, including PM software
  • Strong organizational & analytical skills and aptitude for details
  • Superb organization and follow-through skills, particularly in relationship management
  • Experience with organizing complex travel logistics for senior-level professionals

Preferred Education, Skills & Experience:

  • Bachelor's degree or equivalent years of training & experience
  • Experience using SmartSheet

This position offers an anticipated annual base salary range of approximately $54,000 to $63,000. Salary offers are made based on market analysis and internal equity.
