Introduction (Description of School/College/Dept/Program)
Job Summary
This position is responsible for a range of administrative duties associated with planning, preparing, documenting and communicating program professional development offerings, conferences, and related meetings.
Duties include, but are not limited to: Training registration and customer service
Enter training sessions in computerized registration system (PDS Online)
Assist participants in registering for scheduled offerings
Troubleshoot online training issues using Zoom and Canvas platforms
Monitor and communicate any registration issues (class size, space issues and low enrollment) with program managers
Answer registration and other questions about PDSonline from partners and training participants
Create “how-to” guides and other materials for PDSonline users as needed
Issue training credits as needed
Create regular and ad hoc reports as scheduled or requested
Administrative support
Assist Administrative Operations Manager in developing annual/semi-annual training calendars
Enter training offerings into events planning system (USI)
Create and maintain schedule of online trainings, communicating details and links to trainers and participants as needed
Assist Administrative Operations Manager in planning and executing annual Home Visiting conference
Schedule on-site training facilities
Gather required information needed to contract with training locations around the state
Produce training and other materials as needed
Monitor central email messaging system as needed
Minimum Qualifications
At least 1 year of experience with office operations
At least 1 year of experience using events planning, registration software or learning management system experience
Preferred Qualifications
At least 2 years of experience providing customer service in a fast-paced environment
