Position Overview

As the Facilities Supervisor, under the direction of an on-site Facility Manager, you will be responsible for overseeing all aspects of facility management, monitoring, coordinating, and supervising the daily activities of staff and third-party contractors. Your leadership will be instrumental in creating a welcoming and efficient environment for employees and clients alike. Your assistance in supervising and coordinating with the team would ensure maximum productivity without sacrificing quality and service. This role is on-site 5 days per week. Hours 9am-5pm

Responsibilities:

* Assists Facilities Manager in supervising building services performed by members of the Facilities Team (e.g. Facilities Coordinator, Receptionists, Porters, plant maintenance, etc.) assuring quality of finished product and adherence to contractual obligations, inclusive of preventive maintenance programs

* Provides leadership and direction to department staff

* Coordinates employee relocation and related furniture reconfiguration

* Assists in preparing long and short-term department budgets

* Coordinate office maintenance, repairs, and renovations

* Help to develop, communicate, and implement policies and procedures for the efficient use of the facilities for employees and clients

* Help monitor and manage facility budget including expense coding, tracking and processing

* Facilitate visitor access to the building, manage access control systems, and ensure compliance with security protocols. Onboard and offboard employees by managing access permissions and providing/collecting badges.

* Coordinate office moves, renovations and expansions as needed. Conduct and document regular facilities inspections and flag when changes or renovations are needed.

* Ensure the office environment meets health and safety standards and complies with local regulations. Maintain first aid kits, fire extinguishers, and emergency evacuation plans. Coordinate safety training for employees. Tend to emergencies as they arise.

* Serve as a liaison with IT support for office-related technology needs. Coordinate repairs or upgrades and manage inventory of IT assets.

* Conducts regular tours of properties to make sure they are being maintained appropriately

* Provides recommendations to improve the property or reduce operating costs

* Reviews vendor invoices for assigned portfolio, ensuring work is satisfactory and billing is accurate

* Monitor inventory and purchase of parts and supplies according to business needs and budgets

* Leverage organization skills, problem solving, and creative thinking to help resolve escalated issues, driving continuous improvement and team development in a dynamic environment. Support with other job duties as needed.

* Support and contribute to Green Initiatives

* When applicable work with the leasing agent and/or building management to help facilitate sub-leasing of space

Qualifications:

* Bachelor's degree with four years' hands on experience with an emphasis on facility management or equivalent

FMA certification desired

* Exceptional attention to detail is required

* Proven experience in facilities management, including vendor procurement/management and budget oversight

* Strong understanding of building systems, maintenance procedures, and safety protocol

* Excellent communication, written skills and interpersonal skills, with the ability to collaborate effectively with diverse teams

* Proficiency in Microsoft Outlook, Excel, and Word, facility management software and tools

* Strong leadership, organizational, management and decision-making skills

* Ability to multitask, prioritize, problem-solve, and manage time effectively in a fast-paced environment

* Demonstrated ability to expedite and execute several projects simultaneously

* Knowledge of OSHA compliance fundamentals is required

* Experience working effectively in complex global organizations, satisfying the needs of diverse constituents, and often working under the pressure of competing and sometimes conflicting priorities.

* Ability to effectively prepare and present information and respond to questions from management, clients, and other employees of the organization.

There are several factors taken into consideration in making compensation decisions including but not limited to location, job-related knowledge, skills, and experience. At Franklin Templeton, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation. We expect the salary for this position to range between $92,000- $97,000.
