How will you CONTRIBUTE and GROW?

The Compliance Specialist will serve as a centralized point of contact and will collaborate and work closely to support Airgas businesses in the preparation of customer compliance-related documents such as quality, environmental, health, and safety, with a high degree of accuracy, and in any combination of the following: spreadsheet creation, account maintenance, third party platforms, interaction with other Division/Region/Business team requests received into a shared inbox. The Compliance Specialist will work closely and cohesively with the SA Business Management team, as well as other internal teams in Airgas.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Compliance

  • Interpret, prepare and complete Customer-specific documentation to include supplemental documentation, drafts, and any programs necessary to meet customer compliance requirements, working collaboratively with Legal, HR, and other key personnel on time-sensitive documentation requested by our customers.

  • Maintain Regulatory Compliance tracker to monitor requests via (Google sheets tracker), and provide necessary responses to such inquiries received in the shared email inbox by customer, questionnaire type, complexity and service level turnaround times to include assignment of questionnaires for completeness.

  • Comprehend, comply, and process compliance information as it relates to federal government compliance and supplier inquiries based upon customer requirements. This includes but is not limited to:

    • EPA and OSHA Regulations

    • Department of Transportation (DOT)

    • Federal Acquisition Regulations (FAR/DFARS)

    • Qualification documentation

    • Sustainability platforms

    • Quality/EHS platforms & Government portals

    • (Vendor Apps Primarily)

  • Contribute to research efforts of gathering internal information to maintain compliance for customer-driven requirements in other formats as required, to include product research in SAP and other related Business reporting platforms, BW, and Power BI.

  • Network with other departments and teams to ensure accurate and timely returns for larger packages requiring cross-functional input.

  • Oversee compliance information provided by Airgas business entities to ensure completeness and accuracy-related to customer requirements in areas related to quality, health, and safety, and compliance in regulatory areas related to these requirements.

  • Assist in the creation of compliance training based on relevant Airgas policies and procedures for best practice.

Third Party Site Mgmt

  • Responsible for the management and ongoing maintenance and structure required in ISNetworld and other third party platforms subscribed on behalf of Airgas Division/Region, Business entities, to include Customer-specific portals or platforms.

  • Collect required safety and compliance-driven information from key stakeholders in the company in third-party consortiums based on customer request.

  • Review Airgas Third Party account activities for any discrepancies related to failed grade/flag status not meeting customer acceptability scores.

  • Identify key indicators for improvement and provide third party reports related to customer status, to include scheduling a call with Airgas Regional contacts and National Sales Leaders for strategic account customer activities as part of project planning.

  • Compile, prepare, and maintain Quarterly and Annual OSHA information to track, record and upload into Third-Party Sites for Airgas Regions/Divisions/Businesses where required.

  • Prepare and maintain the master certificate of insurance database for each Airgas third party to include; tracking of expiration dates, issue dates, and statuses; Rejected/ Accepted as well as request (new and/or renewal) certificates for Airgas Businesses.

  • Responsible for the annual certificate of insurance renewal process for third party activities. Prepare the COI file for insurance requests, working with Risk Management and the Airgas Insurance Broker each year for certificate activities i.e.; requesting certs, reviewing for accuracy, submitting to customers via email, platforms, portals, and creating variances and revisions.

  • Manage the established master third party customer directory (database) for Airgas Division/Region/Businesses

  • Prepare, monitor invoice payments due and process invoices for payment to third parties under $501 using P-Card. Submit for approval to VP, SA and to corporate AP for processing of invoices billing above $501.

  • Update and maintain applicable databases

  • Ability to effectively present complex information to co-workers and customers.

  • Experience with Data Warehouse, Business Warehouse and SAP navigation

  • Proven ability to function as a strong team player and an independent contributor

  • Must have the ability to relate to all levels of employees within the organization

  • Communicate effectively to all levels throughout Airgas to research and solve customer-related issues on compliance information for Airgas.

  • Environmental, Health, and Safety knowledge highly desirable

  • Must have exceptional verbal/written skills, and can communicate clearly over the phone and in written form.

  • Ability to work independently and under some pressure to meet deadlines.

REQUIREMENTS:

  • Bachelor's degree is preferred (Environmental, Quality, Safety or Regulatory or Business Administration or 3+ years relevant experience)

  • Working knowledge of Federal government and regulatory compliance areas

  • Intermediate to advanced skills using Microsoft Word, Excel, and PowerPoint

  • G Suite (Google Applications), Sheets, Docs, Forms, Slides experience highly desirable

  • Familiarity with industrial gas and hardgoods business
