Job Summary:
Northwestern University is in search of an experienced, detail-oriented, proactive, culturally competent, student-centered professional to serve as the Program Assistant for Student Enrichment Services. Student Enrichment Services serves lower income, first-generation, and/or undocumented undergraduates at Northwestern University. Reporting to the Senior Director of Student Enrichment Services, the Program Assistant will join a team of professionals from the areas of Multicultural Student Affairs, Social Justice Education, and Religious and Spiritual Life. These four areas together comprise Campus Inclusion and Community and are committed to creating a more inclusive learning environment for all our students through work focused on advocacy and education in the areas of equity and access, leadership development, and intersectionality.

The Program Assistant for Student Enrichment Services is responsible for administrative and programmatic support for the SES office. Successful candidates for the Program Assistant will have experience in office management and with budgets/finance. Candidates will also have a strong background in communications, including social media and written communication, and event planning. SES prioritizes team culture and interdependence; the ideal candidate will be a team player who is both proactive and flexible as we strive to best serve our students.

Candidates will demonstrate evidence of prioritizing, tracking, and managing multiple projects with a demonstrated ability to meet deadlines and complete deliverables. Candidates will have strong organizational skills and will demonstrate extraordinary attention to detail. Lastly, candidates will possess a dedication to the support of student success and the student learning experience. Their work will contribute to the mission of the Division of Student Affairs at Northwestern, which is to educate students, engage the community, and enrich the Northwestern experience.

Workplace Flexibility: This position is eligible for a hybrid work schedule (3 days in office, 2 days work from home)

Pay: This is a non-exempt, benefits-eligible full-time role with an hourly compensation range of $21.00 to $22.26 per hour depending on experience, skills, and internal equity.


Principal Accountabilities:

Accounting 25%

  • In collaboration with the Senior Director of SES, manage budgets for departmental programs, initiatives, facilities, and gift accounts.
  • Approves expenses, purchases, and reimbursements per budget.
  • Creates and maintains financial records, which may include preparing forms, verifying accuracy of charges, processing and reconciling expenses, transfers, and updating spreadsheets and databases.
  • Generates and reviews summary reports for accuracy; investigates and reports any discrepancies to the director.

Student Programming Support 25%

  • Assistance with all logistics for the Summer Academic Workshop including purchasing flights, securing Northwestern housing, transportation, meals, and excursions
  • Event logistics for SES Wildcat Welcome Events including space reservations, catering, technical assistance, and volunteer management
  • Working alongside our assistant directors, provide additional support for Work the Room programming including marketing, contracts, bus reservations, and catering
  • Purchasing swag items for SES programming

Stewardship and Donation Management 20%

  • Oversight and management of the Winter Gear and Welcome Kit program
  • Create stewardship and annual reports to report on fund usage and SES outcomes, alongside director

Facilities and Office Management 15%

  • Oversee the all facility needs of Foster-Walker, House 6 including monitoring space needs and creating facilities requests, maintain hospitality items for staff and students, upkeep of furniture and technology, and supervise student workers hired to attend the front desk
  • Order office supplies
  • Management of the SES Calendar
  • Ordering swag and promotional items
  • As needed oversight of Senior Director email and calendaring

Contacts 5%

  • Screens and prioritizes incoming calls and emails in the enrichment account
  • Monitors the SES Interest Form
  • Responds to departmental inquiries and resolves matters or refers to appropriate resources
  • May represent the SES team in routine/standard situations with various levels of personnel both internally and externally.

Website and Online Database 5%

  • Coordinates content maintenance of SES Website
  • Trains and assists faculty staff in updating website
  • Oversight of the NU SES Microsoft SharePoint Site
  • Maintenance of MySES database
  • Technical Assistance with the SES One Form

Other Duties as Assigned 5%


Minimum Qualifications:

  • A high school diploma or equivalent required.
  • 2 years of administrative support or other relevant experience required.
  • Experience working with budgets/finance;
  • Experience with event planning
  • Experience with facilities and/or office management


Minimum Competencies:

  • Budgetary, accounting, and expense reporting skills.
  • Strong written and verbal communication skills, as well as general interpersonal skills.
  • Able to effectively manage multiple projects and competing priorities.
  • Intermediate knowledge of email, word processing, spreadsheets, and database software programs.
  • Must work well as part of a team and independently.
  • Strong customer service skills.


Preferred Qualifications:

  • Bachelor's degree or equivalent
  • 3-5 years office and facilities management experience
  • Competency with Blackbaud, Canva, Microsoft Office Suite, and/or Cascade
