About the Position

The Program Assistant 4 is the first point of customer service contact for phone and email inquiries relating to Kellogg Executive Education online programs. This position coordinates a broad variety of administrative processes and activities in support of the department, including customer service-oriented external communications to participants and both internal and external stakeholders, database/CRM data imports and reporting, and data-related and administrative tasks in support of the supervisor(s) and program managers. This position reviews administrative work procedures, operational methods and policies and helps identify and document as applicable: Standard Operating Procedures, best practices, appropriate filing and audit mechanisms, and metrics reporting.

Specific Responsibilities:

Documents & Databases

  • Based on research, and/or knowledge of subject matter prepares and compiles correspondence, reports, etc. to faculty, staff, and participants.
  • Creates and/or maintains spreadsheets and/or databases and/or reports, charts, etc. based on supervisor's information objectives.
  • High level of aptitude with Outlook, Excel, PowerPoint and Microsoft Word, including customized templates, to design and execute high-impact visual presentations and other materials and documents for internal and external clients.
  • Works with CRM systems, such as Salesforce and similar software tools for relationship management, data entry, data importing, and reporting.
  • Works with the registration system, importing and reporting on data
  • Creation and maintenance of digital certificate delivery for Executive Education programs.
  • Secures all copyright permissions.
  • Group registration invoicing and Opportunity creation in CRM

Accounting/P-Card Management

  • Verifies that charges are accurate and posted to the appropriate account.
  • Resolves discrepancies on invoices.
  • Manages the department purchasing card, including reconciling and submitting reports to finance on-time

Coordination

  • Assists the Program Managers in the delivery of Executive Education programs.
  • Works with constantly changing priorities, unanticipated demands, and multiple tasks and projects with competing deadlines.

Contacts

  • Represents Executive Education, both internally and externally; manages and facilitates confidential and/or critical information.
  • Responds to unanticipated and complex issues.

Customer Service & Participant Support

  • Refers participants to appropriate resources.
  • Answers general participant questions via email or phone
  • Creates support documentation and offers occasional general LMS and tech support for online faculty, facilitators, and program delivery team.
  • Assists with special enrollments to partner programs from a variety of key stakeholders.
  • Participates in evaluation process of programs including preparation, processing, and reporting of evaluation forms.
  • Recommends and implements administrative and procedural changes.

Performs other duties as assigned.

Minimum Qualifications: (Education, experience, and any other certifications or clearances)

  • A high school diploma or equivalent or the equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • 5 years of administrative support or other relevant experience required.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Advanced knowledge of word processing, spreadsheet, email, and CRMs. Strong customer service orientation
  • Exceptional communication skills (both written and verbal) with attention to detail. Comfortable learning new technologies

Preferred Qualifications: (Education and experience)

  • Project management in a customer service role
  • Experience with adult education and/or hospitality-oriented functions and organizations.

Target hiring range for this position will be between $24.00 to $26.00 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
