MARS Solutions is looking for a Human Resources- Benefit and Wellness Specialist (Binlingual) in Milwaukee, WI

POSITION SUMMARY:

The Benefits and Wellness Specialist is responsible for the overall communication and education of client's health benefit plans and wellbeing initiatives while supporting the company-wide wellbeing program. The Benefits and Wellness Specialist communicates and develops education methods that support client's culture and educates, inform, and drives positive engagement. The Benefits and Wellness Specialist manages the reward program and overall work benefits following agencies policies and practices.

DUTIES:

  • Assist in preparing and maintaining personnel records and handbooks
  • Communicates effectively with the HR department, managers, and stakeholders
  • Escalates issues/ problems to other levels of the organization as needed
  • Provide ongoing and consistent administrative and clerical support to members of the department as needed.

SPECIALIZATION:

Benefits

  • Implement new hire benefits orientation and advise staff of individual qualifications for benefits
  • Ensures the accuracy of all benefits enrollments (health, vision, Life Insurance HRA, FSA, voluntary plans, etc.) in the Human resources information systems to provide vendors with accurate eligibility information
  • Assist with the administration of employee insurance, and work with insurance brokers and plan carriers.
  • Managing the enrollment, distribution, and renewal process of the organization's benefits (policies, wellness programs, insurance, COBRA)
  • Assists COBRA participants with enrollments and inquiries
  • Maintains COBRA participant data within the Cobra Third Party Provider
  • Monitoring benefits trends, and government regulations.
  • Prepare and complete various benefit surveys and provide findings and recommendations to management.
  • Ensure Affordable Care Act compliance is maintained through proper monitoring and reporting.
  • Performs quality checks of benefits-related data
  • Assists employees regarding benefits claim issues and plan changes
  • Develops, maintains, and distributes all benefits enrollment materials and wellness programs
  • Maintains benefit communication calendar and partners with benefit carriers and marketing team to deploy information across the agency.
  • Responsible for the overall content and updating of the benefits and wellness in the self-service system
  • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes, and other general inquiries.
  • Assists with the open enrollment process.
  • Provides necessary reports for allocation/billing charges.
  • Plan and execute Wellness activities such as company annual Biometric Screenings, Health fairs, vaccine clinics, and employee information sessions. Including, but not limited to, vendor selection, donations, space requirements, employee giveaways, activities, printed materials, technology, communication materials, and attendance to ensure and enhance the employee experience

Workers Compensation

  • Establishes and maintains case files, logs, and indexes; reviews documentation and records. Verifies job-related accidents with claimants and supervisors. Initiates appropriate notices as needed; Works very closely with Worker's Compensation Company
  • Evaluates accident reports, ensuring the timely processing of medical bills and temporary total disability benefits; review medical reports, witness statements, department investigation results, and other documentation.
  • Compiles facts and data regarding accident reports and filed cases.
  • Maintains records and files for those incidents involving third parties
  • Advises and/or assists departments in investigating accident reports, including interviewing witnesses and procurement of relevant documentation.
  • Reviews accident reports to identify patterns of injury and to determine whether unsafe conditions contributed to the accident; advises departments of trends in injuries and proper safety procedures that may result in a reduction of injuries; provides the department with information that will aid in reducing accidents and improving safety.
  • Documents telephone conversations, witness statements, medical reports, accident investigation results, and payment of medical bills;
  • Attends seminars, conducts research, and maintains liaison with individuals in the medical community and healthcare fields to keep abreast of current medical procedures and medications.
  • Trains other departments in the proper procedures and forms to be utilized in workers' compensation matters and the preparation of accident reports, notices of absence, and notices of return to work in accordance with city regulations and the Workers' Compensation Act.

Employee Termination Process

  • Ensures that terminations and resignations are handled in a way that preserves the employee's dignity, and protects the agency's interest
  • Assist in the collection of agency properties, such as Laptops, keys, etc.
  • Schedules and conducts exit interviews
  • Ensures all required forms are completed and all payments are made to the exiting employee within the legal time limits and agency procedures
  • Notifies affected departments of employee termination such as IT and Reception
  • Explain the benefit termination process with employees that are exiting, including health insurance benefits, pension and retirement plans, personal days and vacation, any amount owed to UCC due to tuition, contract breach, etc.
  • Reviews employee records to determine whether any special agreements exist with the agency
  • Determine any employee indebtedness to the organization.

  • Work with payroll to ensure proper deductions are taken from the employee's last check
  • Assist with answering unemployment claims

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent verbal and written communication skills.
  • Ability to read, analyze and interpret common professional journals, financial reports, and legal documents. Ability to respond to common benefit and wellness inquiries or complaints from employees, or regulatory agencies. Ability to effectively present information to top management, public groups, staff, and board of directors
  • Excellent interpersonal, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Thorough knowledge of employment-related laws and regulations
  • Proficient with Microsoft Office, Excel, and other office software.
  • Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.

QUALIFICATIONS:

  • BS in Human Resources, Business Administration
  • 3 years of HR Benefits experience
  • Good communication and writing skills.
  • Knowledge of employee benefits and applicable laws.
  • Must be bilingual in Spanish with the ability to work in a multicultural environment.

WORKING CONDITIONS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to walk and use stairs.
  • Must be able to work flexible hours as needed
  • Must have a driver's license and car to be able to travel to other buildings or events
  • Must be able to access and navigate each department at the organization's facilities.
