JOB PURPOSE:

Our next Support Staff for Treatment Foster Care is responsible for providing support to the Treatment Foster Care Department.

QUALIFICATIONS:

  • Associate's Degree
  • Computer/secretarial knowledge with two or more years of experience required.
  • Experience with project management, information tracking, and management and operational protocol preferred.
  • Ability to type 40-50 words per minute with 95% accuracy.
  • Experience with Word, Excel, and Outlook and able to organize and track information in a systematic method.
  • Demonstrate effective cultural competency skills and able work and communicate respectfully with individuals from diverse economic and cultural backgrounds.
  • Demonstrated organizational skills, able to manage multiple priorities and able to respond quickly and courteously.
  • Ability to maintain confidentiality when reading, typing, or hearing matters pertaining to clients.
  • Proficient in the usage of computer software; demonstrate an understanding of computer file systems and computer software packages, e.g., Microsoft Office, Excel, Outlook, Teams, ADP, etc.
  • Must be honest, dependable and able to meet deadlines; Self-motivated and able to work independently.
  • A valid Wisconsin Driver's License or occupational driver's license, reliable transportation and insurance is required.
  • Physical exam, drug screen, motor vehicle report, and background checks are required for this position.

JOB RESPONSIBITLITIES:

  • May require travel to attend meetings and events.
  • Subject to frequent interruptions with ability to handle multiple tasks simultaneously.
  • Involved with personnel, residents, family members, visitors, volunteers, interns, and vendors under all conditions and circumstances.
  • Quantitative/mathematical ability (addition, subtraction, multiplication, division, standard measurements)
  • Hybrid on-site/remote work is available with reliable broadband connection.

    Applications Processing

  • Primary contact for processing and uploading data to Maximus and into Synthesis

  • Run background checks (InCheck, Sex Offender, address search, CCAP on all name and aliases for all adults in home. Run CCAP and Sex Offender name search for all juveniles ages 10-17).

  • Assists with annual background checks for TFC and Level 5 families

  • Run all required Tier 1 InCheck reports for foster parents.

  • Requests Out of County/Out of State Background Requests dependent upon Tier 1 results for all adult household members via fax, email or USPS and log when sent and received.

  • Request and process all background checks through CCAP and Sex Offender address search utilizing the Tier 1 results. For all applications, CPS background checks will be conducted.

  • Send SAFE Reference form via email or USPS for all TFC home applicants.

  • Track and run annual and relicensing background checks for foster parents

    Management of Records

  • Upload paper file documents into designated database.

  • Prepare files for closure by eliminating unnecessary documents, ensuring all clips, rubber bands, etc. are removed and file folders are in good condition.

  • Assist with file audit completion (track files that need auditing and missing file items)

  • Send out foster parent welcome packet to new foster parents

  • Monitor foster parent documentation distribution and ordering of foster parent documents

  • Monitor treatment plan distribution

  • Provide technical assistance and support for document database

    Invoicing Management

  • Maintain admits and discharges

  • Update rates monthly S

  • Submit to TFC leaders for review monthly

  • Submit to internal finance department for payment processing

  • Track respite

  • Track CLTS respite and billing


    Program Assistance

  • Monitors and distributes phone and voicemail messages to the department

  • Follow protocol regarding client communications while maintaining confidentiality of all departments/client communications.

  • Assists with ensuring incoming faxes are appropriately distributed to designated staff via email.

  • Assists with Agency special projects.

  • Assists with special projects such as mailings, preparing informational packets, etc.

  • Assists with and monitors any other documents needed for the TFC department.

  • Other duties as assigned for the overall purpose of the program.
