Charter Manufacturing has an exciting opportunity for a Senior Executive Assistant!

This role will provide professional, high-level, day-to-day support to Charter Manufacturing's Executive team. The Senior Executive Assistant will manage a wide range of administrative and executive support related tasks at the most senior levels. This role will ensure the executive is made aware of issues that need immediate attention and work independently on special assignments related to corporate or business affairs. The Senior Executive Assistant will handle confidential business matters and maintain smooth operation of office.

What you'll need:

  • Bachelor's Degree in business-related major or equivalent combination of education and experience.

  • Six plus years' administrative experience including a minimum of three plus years' executive-level administrative experience.

  • Exceptional written and verbal communication skills employing good judgment, tact, and the utmost discretion with confidential information.

  • Proven decision-making skills utilizing sound judgment.

  • Demonstrated attention to detail and the ability to anticipate needs.

  • Demonstrated strong leadership and interpersonal skills.

  • Ability to manage and delegate a variety of competing priorities while maintaining positive and effective service.

  • Ability to work in teams as a leader and as a member.

  • Strong analytical skills to gather data from multiple sources and report findings.

  • Ability to take initiative being a self-starter and working independently.

  • Exceptional organizational and project management skills.

  • Telecommunications and other contemporary office equipment experience.

  • Proficient in Microsoft Office software with a strong technical aptitude.

What we'd prefer:

  • Five plus years' executive-level administrative experience.

  • Experience in a manufacturing environment.

  • Experience supporting administrative executives.

  • Proficient in the advanced features of Microsoft Office products.

What you'll do:

  • Support Charter Manufacturing's Executive Team by handling a wide variety of complex situations involving the clerical and administrative functions of the office such as:

    • Heavy Calendar Management. Arranging meetings, conferences, and travel arrangements (both domestic/international), and maintaining daily schedules.

    • Handle communication and correspondence with excellent judgement, confidentiality, and discretion.

    • Plan, coordinate, and ensure that all schedules for those being supported are followed and respected.

    • Review drafts and finished documents for appropriate grammatical usage.

    • Answer questions relating to office operations and established policies and procedures.

    • Gather, compile, analyze, and report on information requested.

    • Interviewing callers and making proper referrals.

    • Receiving, referring, or answering mail.

    • Setting up and maintaining files.

  • May keep stock and orders office supplies as needed.

  • May serve as back up to Administrative Assistants or Executive Assistant(s) on site as requested.

  • May act as a resource for facilities and safety on-site.

  • Will participate or lead in the organization of on-site/company events (United Way enterprise wide, Service Awards Banquet, CI Showcase, etc.).

  • Reports to: Executive Administrator Supervisor

  • Primary internal customers: Charter Manufacturing Executive team
