UCSF Pediatric Surgery is the premier Pediatric Surgical Practice for the Bay Area and beyond. Our world-renowned surgeons are dedicated to the care of children, providing expert surgical care of fetuses, infants, children, and adolescents with congenital and acquired conditions. As the only Pediatric Surgical practice in San Francisco, we provide inpatient and outpatient clinical care at the UCSF Benioff Children's Hospital, California Pacific Medical Center (CPMC), and Kaiser Permanente San Francisco, in addition to teaching and conducting clinical research as full-time faculty at the UCSF School of Medicine. Delivering state of the art treatment, our surgeons are also world-renowned leaders specializing in such fields as pediatric surgical oncology, minimally invasive surgery, and birth defects.

Surgical Innovations is an UCSF interdepartmental initiative, led by the Department of Surgery in partnership with the Department of Bioengineering & Therapeutic Sciences to support the development and clinical translation of novel medical innovations conceived of by UCSF faculty, trainees, and collaborators. The Pediatric Device Consortium is a related collaborative program led by UCSF, in partnership with Stanford University, and funded by the U.S. Food and Drug Administration, to facilitate the development and commercialization of pediatric medical devices.

This position is necessitated by the need for high-level administrative research coordination and program support to assist the program leadership. It is critical in managing the many roles the program leadership have at UCSF and with collaborators at other academic and industry partners, including oral communication and written correspondence with faculty, university officials and other program leaderships, administration, funding agencies (NIH, FDA), other PDC leaderships in the Consortia, advisory networks, innovator communities, national journal editorial boards, publishers, professional associations, research institutes, private corporations, and private foundations, governmental agencies, other high level contacts at other universities.

The individual will need to thoroughly understand the policies of the programs, Division (Ped Surg), Departments (Surgery, BTS) and UCSF to resolve issues and implement appropriate policies for activities.

The incumbent will provide support in the operation and directorship responsibilities of these two innovation programs, which in combination serve over 80 faculty and trainees as well as several external innovators involved in many medtech innovation and translation projects.

The Program Coordinator is needed to coordinate and support the day-to-day activities of these programs; assist in program planning, development, and outreach; interpret, monitor, analyze and report information regarding program operations and activities; and assist in the administration of budgets and coordinate educational, research and training activities related to these programs.

The incumbent will provide support to the leadership team in all aspects of their management responsibilities, including planning and coordination of meeting schedules, planning and execution of program events, drafting and management of program communications and correspondence, and independently analyzing issues pertinent to program research and operations.

This position is also responsible for assisting in the organization and management of the grant funding and reporting commitments that support the programs, which include multi-investigator and multi-center grant portfolios as well as intramural sources.

The incumbent will assist with grant and proposal preparation, budgeting, direct device award set up and monitoring, progress reporting, education and outreach activities, administration and maintenance of website and other social media platforms, and other duties as assigned. This position is public-facing and represents the department(s) and programs in all activities and communications.

The incumbent will work under the supervision of the Program Director and will be guided by established policies and procedures. The role is multifaceted and requires a high degree of analytical skills, initiative, and flexibility, as well as excellent organizational abilities, attention to detail, interpersonal and communication skills.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Required Qualifications

  • Bachelor's degree in related area and/or equivalent experience / training.
  • Ability to use discretion and maintain confidentiality.
  • Minimum of one year of Executive administrative experience supporting upper-level management/leadership.
  • Advanced knowledge of Microsoft Office applications (such as Word, Excel, PowerPoint, Outlook).

Preferred Qualifications

  • Experience working in research environment.
  • Experience with event planning.
  • UCSF experience and familiarity with UCSF campus policies and systems.
  • Experience with complex calendaring and scheduling.
  • Experience editing and maintaining websites; design skills a plus.
  • Experience developing budgets and managing funds.
  • Scientific writing experience, including coordination of complex proposals, reports etc.
  • 2+ years of Project management experience with varying complexity in projects.
  • UCSF work experience in academic research teaching and clinical department.
  • Understanding of clinical research methodology
  • Experience using UCSF software: MyAccess, Bear buy, Advance, My Expense, Connexus.
