Job Description
Sacred Heart Seminary and School of Theology is seeking a welcoming and outgoing individual to serve as its HOSPITALITY AND INFORMATION DESK Communications Assistant.  The objective of this position is to serve as the initial point of contact for everyone entering the building, by extending exemplary hospitality and customer service.  It is a people-oriented position and often acts as the hub of seminary life. This role supports our mission of preparing evangelizing disciples through specialized formation to conform our world to the Heart of Christ, by being the first welcoming touchpoint for the many visitors to Sacred Heart.

Sacred Heart Seminary and School of Theology is a higher education, Roman Catholic religious institution that primarily provides a pathway to priesthood through the four pillars of formation: Human, Spiritual, Pastoral and Intellectual for its seminarians.  SHSST is especially known for its ability to provide specialized priestly formation. Its primary mission is complimented with a vibrant Master of Arts program available to lay students, an English and Culture Studies program available to religious from around the world and the Hispanic Ministry Preparation Program an opportunity within specialized priestly formation. SHSST also boasts a one-of-a-kind Catholic-Jewish Studies program known as The Lux Center.

Eligibility Requirements:
  • Bachelor’s degree from an accredited university required.
  • Minimum of 1 years’ administrative support experience.
  • Advanced skills with Microsoft Outlook; proficient skills with Microsoft Word and Excel.
  • Willingness to learn new technologies, specifically our course management platform “Populi”.
  • Familiarity with Catholicism or religious terminology.

The successful candidate must be punctual and maintain a 40-hour per week work schedule on campus of 8:00am – 4:30pm; be service-oriented, energetic, positive and team oriented; be reliable and able to maintain confidentiality; have excellent verbal and written communication skills; have attention-to-detail, be able work independently as well as with others; and willing to support the mission of Sacred Heart.  

Preference will be given to candidates who have these Extra Skills!
  • Photography, social media or writing skills
  • Ability to flex hours for evening events
  • Speaking two or more languages
SUMMARY OF RESPONSIBILITIES
HOSPITALITY AND INFORMATION DESK
  • Act as a general information desk; be attuned to the seminary calendar events and daily activities, anticipated guests and absences.
  • Greet guests, coordinate welcome packets as needed, including guest room assignments and keys, parking assignments.
  • Manage the volunteer list / log.
  • Create video slides and update the Lobby Monitor as requested.
  • Maintain the tidiness and organization of the mailroom including updating mailbox labels, forwarding mail, holding packages and assisting others on the use of the postal machine and copier.
  • Answer the phone, front door, loading dock buzzer and maintenance radio.
  • Assist Student Services as needed.
COMMUNICATIONS ADMINISTRATIVE ASSISTANT
  • Provide administrative support for seasonal swag orders.
  • Provide administrative support for events
  • Maintain phone and room lists
  • Maintain select office supply inventories.
  • Other duties as assigned.
Physical Demands
  • Must be able to lift up to 15 pounds unassisted and as needed.
  • Must be able to go up and down two flights of stairs to unlock the door for visitors.
  • Must be able to maintain a presence at a computer workstation for prolonged periods of time.
