Position Summary:

The Executive Assistant is responsible for providing proactive, well-organized, and timely administrative support and executive representation to internal / external stakeholders. Work is often of a highly confidential nature and requires attention to detail, proactive action, management of multiple priorities and implementation with minimal direction.

*Prefer full time hours but open to minimum of 30 hours per week.


Essential Responsibilities: (other duties as assigned)

  • Provides high-level administrative support and assistance to the CEO/President and other executive team members on occasion
  • Arrange meetings, local and offsite, ensuring that all logistics including audio-visual equipment and network connection requirements are met. Arrange for refreshments and food as required. Prepare agenda and meeting minutes if necessary.
  • Prepare and keep up-to-date calendars and daily schedules for executive. Review, screen and direct mail and telephone calls. Always be looking forward to proactively handle any conflicts and accommodate changing priorities. Provide prompt, customer-oriented service to all callers and visitors, solving their requirements without executive whenever possible.
  • Execute all general administrative duties (e.g., business travel, expense submission, email monitoring) in seamless fashion.
  • Must have a positive outlook during periods of high demand.
  • Establish and maintain strong, positive, and collaborative relationships with personnel throughout the organization as required to effectively execute job duties.
  • Prepares and edits presentations as needed
  • Manages multiple calendars and schedules
  • Able to proactively manage competing demands on the executive’s time.
  • Copy, fax, scan, and mail material as required.


Secondary focus:

· Assist HR team with planning company events

· Misc. items such as vending orders, stocking coffee in break rooms, supporting employee relation initiatives.

· Get involved in the FUN STUFF!!!


Competencies and Qualifications:

Excellent written and verbal communication

Ability to prioritize and multi-task

Flexibility and adaptability to changes in priorities

Discretion and confidentiality are a must

3–5 years of administrative experience
Strong attention to detail
Well-developed computer skills including Microsoft Office (Word, Excel and Power Point)
