Join our team who is committed to the delivery of the highest quality health care service. We are seeking a full-time Administrative Assistant to VP of Community Health Initiatives that is self-motivated, energetic, and a take charge individual.
Responsibilities: Assist VP of Community Health Initiatives with project management, Practice Analytics, case management technology, and dashboard reporting, new and on-going initiatives. Create, manage, and evaluate process for tracking action items of financial meetings for Community Health Initiative grants. Assist VP of Community Health Initiatives with tracking and forecasting contracts, letters of support and grant requirements. Provide administrative and clerical support to the VP of Community Health Initiatives as well as to the direct reports to the VP of Community Health Initiatives. Represent the office in a professional manner; provide a comfortable and efficient environment for meetings, and a friendly contact for outside agencies. Supervise and manage the schedule of the VP of Community Health Initiatives including timely and accurate coordination of internal and external meetings, as well as dedicated time for project work. Assist direct reports with outstanding action items from team meetings and project requirements. Track completion of performance evaluations for all employees of Community Health Initiatives. Record and archive accurate minutes for all Community Health Initiatives meetings attended by the VP and other meetings as requested. Manage VP of Community Health Initiatives direct reports employee timesheets and provide back-up assistance for direct reports as needed. Arrange and track payment and reconciliation of various department costs and participate in departmental management functions and meetings as requested.
Qualifications:
Bachelor or Associate degree in related field or equivalent experience
Excellent oral and written communication skills
Ability to research and organize data and information
Computer use proficiency: specifically, use of Microsoft Professional software
Strong problem solving and innovative thinking
Able to work confidentially with discretion
Able to relate to people of diverse ethnic and cultural backgrounds
