Job Description
The Buyer is responsible for processing purchase requisitions from interdepartmental personnel and turning those requisitions into purchase orders. The Buyer creates purchase order tracking systems, alerts management when orders have been filled and invoices from vendors have been issued, answers vendor questions and provides them with additional order documentation as needed.
 
Essential Duties and Responsibilities:
 
  • Conducts all business in accordance with the organizational policies and procedures, but if a subject is not covered by those policies and procedures, then acts in accordance with the best business purchasing standards as currently practiced or as directed by the Procurement Supervisor.
  • Checks requisitions for completeness and clarity. Obtains necessary missing information where required. Tactfully instructs requisitioners or specifiers on what data is necessary to obtain good product.
  • Researches the best source and assists in purchasing materials, supplies and services at the most favorable terms for the organization.
  • Qualifies vendors, evaluates bids, and negotiates prices and terms for purchased goods and services.
  • Prepares purchase orders or other agreements as necessary and checks them for accuracy, completeness, and ensures accordance with all laws before issuing.
  • Tracks purchases, monitors vendor quality, and maintains a current database of vendor information.
  • Reviews acknowledgements for agreement with purchase orders and resolve any discrepancies with the supplier to the best possible advantage for this organization.
  • Follow-ups or expedites orders as necessary to meet schedules.
  • Keeps the Procurement Supervisor informed of all activities or problems and submit reports as requested by management.
  • Performs all other duties as assigned.
Qualifications- To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.
 
  • Requires a bachelor's degree or 1-2 years of related work experience.
  • Experience in the manufacturing industry and a strong understanding of supply chain management concepts.
  • Ability to work with minimum direction or supervision to accomplish all of the duties delegated by the Procurement Supervisor.
  • Must be able to perform each essential duty satisfactorily.
  • Excellent verbal and written communication skills required, utilizing a high degree of professional ethics, tact, and courtesy in dealing with vendors and internal and external customers.
  • Detailed orientated with the ability to think outside-the-box to meet current daily objectives.
  • Competent in Microsoft Word, Excel and Outlook as well as excellent typing skills. Oracle ERP skills for procurement actions a plus
  • Understand how to prioritize daily procurement workload.
  • Ability to mentor junior level procurement personnel.
  • Mathematical Skills with the ability to calculate figures, discounts, margins, savings etc.
  • Ability to quickly learn organizational products and services in order to convey any unrestricted and required information accurately to suppliers.

  • May require travel to visit supplier’s production facility or vendor shows.
