The Student Accounts Billing Assistant works with students and their employers, sponsors, and/or governmental agencies to ensure all required paperwork is completed to secure funding for student tuition charges. The incumbent will be expected to communicate via phone, email, chat, and/or other methods to provide the client with the required information. Must be familiar with University systems such as CampusNexus, Salesforce SRM, Portal, and basic software communications such as Email, MS Office programs (i.e., Word, Excel, Powerpoint, ACCESS). The individual will be expected to manage a queue consisting of student accounts supported by third-party sponsors to ensure all billing is up-to-date and paid. Aging inventory must be thoroughly managed to avoid negative impact to the organization's bad debt expense and negative student impact.

Key Job Responsibilities:

  • Actively communicate with students and clients that sponsor our students to ensure all billing is complete, accurate, timely, and up-to-date

  • Respond to student and sponsor requests professionally and timely

  • Manage inventory to minimize aging of accounts and reduce impact to organization's bad debt

  • Send billing to students and or sponsors to secure funding

  • Provide student communications to assist students in securing outside funding

  • Partner with other Kaplan and Purdue Global teams to provide accurate information to students' and sponsors' inquiries (Such groups may be Financial Aid, Student Finance, Business Office, Admissions, Advising, Student Relations, Office of Returning Students, etc.)

  • Certify Military students' eligibility using their respective process (i.e., Vocational Rehabilitation, Go Army Education, Air Force, Marines, Navy, etc.)

  • Meet all eligibility and security clearance requirements of our third-party sponsors (Incumbent is responsible for providing necessary background information to successfully pass any background clearance requirements required from our providers)

  • Organize workload to successfully follow-up on all queues assigned

  • Cross-train in other departmental processes to assist in coverage during high volume times, vacations, absences, etc.

  • Provide phone support to all students supported by third-party sponsors; Occasionally provide phone support for Student Accounts collections

  • Work as part of a team to achieve team goals; Actively assist in the training of other team members and in the coverage and assistance for other queues within the team

  • Utilize Microsoft Office programs such as Excel, Word, PowerPoint, Access to both manage your portfolio and effectively communicate with students, sponsors, and Management

  • Utilize Kaplan systems such as CampusNexus, Salesforce SRM, Orion, Portal, Payment Center, etc. to assist students, colleagues, and third-party sponsors

  • Familiarize him/herself with Title IV and Military Funding benefits, financial aid processes and procedures

  • Assist in the development and documentation of departmental Statements of Processes

  • Troubleshoot problems identified, assist in the implementation of improved processes that benefit the student and University

  • Actively engage in all team events, meetings, and team building activities

Minimum Qualifications:

  • A Bachelor's Degree

  • 1+ years of experience in other Universities, Customer Service, B2B collections or billing, or Accounts Receivable

  • Proficiency with Microsoft Office products including Excel and Word

  • Outstanding attention to detail and be comfortable working in a high volume production environment accustomed to meeting deadlines and goals

  • Strong communication (verbal and written)

  • Experience using Campus Nexus, Salesforce, and Orion
