Job Description
United Way of Greater Milwaukee & Waukesha County is currently seeking applicants for our 2022 Volunteer Engagement Administrative Loaned Executive (ALE) position.  This ALE role is a full-time (37.5 hours per week) temporary position from August 1 – December 9, 2022.

The Volunteer Engagement Administrative Loaned Executive assists in the successful support and facilitation of United Way’s largest volunteer engagement period – the fall “Season of Caring” which takes place throughout the duration of the Community Giving Campaign.  The ideal candidate has excellent customer service experience and is highly effective in managing project details and time.  In addition, the candidate is a self-starter who can execute tasks with little direction and oversight.  The candidate must also have high technology proficiency and accuracy in data entry/management.

Duties & Responsibilities
  • Support United Way staff team in the implementation and execution of the annual Holiday Giving Tree program.
  • Support the organizing/packing/delivery of volunteer event supplies.
  • Support United Way staff team in the implementation and execution of virtual/remote/on-site volunteer experiences.
  • Attend and support the logistics of on-site kit packing events at workplaces or hosted by community groups.
  • Administratively support communications strategies for all signature events as assigned.
  • Inventory supply drive donations and support distribution to nonprofits, including United Way’s new Diaper Bank
  • Support Mary Lou’s Closet program for Community Schools and other custom supply drive efforts.  
  • Summarize signature event volunteer experience survey results as needed.
  • Support Volunteer Center reception desk as needed to answer incoming phone calls and welcome guests to the Volunteer Center
  • Ensure warehouse and volunteer project supplies are organized and clean
  • Mange the distribution of Seasons of Caring t-shirts to corporations and community groups
  • Support volunteer projects/experiences held at The Volunteer Center
  • Enter data into organizational database ensuring volunteer coordinator contact information is current and accurate.
  • Support data management and volunteer experience postings within the Volunteers United portal to ensure experiences are accurate, updated, and in compliance with safety guidelines.
  • Support volunteer and customer outreach via phone and email communications.
  • Solicit and research volunteer project options for corporate and community partners on an ongoing basis.
  • Conduct reminder and check-in calls to volunteer coordinators at both companies and nonprofit agencies prior to their projects and field any final questions.
  • Assist with the administrative affairs of the Volunteer Engagement Department, including general organizing, warehouse management, project planning, scheduling, basic business correspondence and follow-through.
  • Administratively support virtual meeting platforms and virtual events.
  • Use Microsoft Office including Word, Excel, PowerPoint and Outlook for effective division administration.
  • Assist with coordination of details for volunteer, corporate and campaign activities as assigned.

Key Qualifications
  • High School diploma or GED.
  • Valid driver’s license, reliable automobile, and auto insurance coverage.  (Ability to drive company van to meetings, appointments and events.)
  • Ability to lift up to 50 pounds and to walk, sit and stand for extended periods.
  • Use Microsoft Office including Word, Excel, PowerPoint and Outlook for effective division administration.
  • Experience in data entry.
  • Demonstrated success in customer service.
