Sacred Heart Seminary and School of Theology has a senior leadership opportunity to serve as the Vice President of Finance and Administration (VPFA). The individual in this position gets to work with internal and external key stakeholders to promote the vision and mission of the Seminary (see https://www.shsst.edu/mission-vision-history/). It is a highly visible and important role in leadership, as the individual reports to the President-Rector and acts in a business advisory capacity to him and the organization as a whole. The position plays an integral role in overseeing and guiding the areas of Finance and Administrative Services (Human Resources, Facilities, Technology, Food Service, and Security) to provide a solid foundation and structure from which the School and Programs can thrive.

POSITION DESCRIPTION - DETAILS This position is a full-time, on-campus, exempt position at SHSST subject to the terms of an employment contract and annual agreement. As part of the SHSST Community, this position is required to attend weekly liturgy, annual staff day and select Days of Recollection during the school year. Attendance at certain special events is also required, which generally occur in the evening.
SUPERVISORY RESPONSIBILITIES
Supervises the Director of Plant Operations (Buildings and Grounds Maintenance), who oversees Facilities Maintenance (530) and Custodial Services (532), as well as the Telecommunications Assistant (420).
Supervises the Finance Manager who oversees Accounting, Payroll and Benefits administration (421).
Advises and directs third party service providers: Food Service (740) and Information Technology (420).
POSITION RESPONSIBILITIES
Finance
Serve as the Financial Officer for the school regarding policies, contracts, banking and external reporting.
Analyze and present monthly financial reports and narratives in accurate and timely manner to President-Rector and Provincial Treasurer.
Oversight of Foundation and Grant reporting, with direct accountability to the financial reporting sections.
Coordinate and lead the annual audit process and present annual audit report to the Board of Directors.
Lead annual budgeting and planning process in alignment with the Strategic Plan of the School; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership abreast of the SHSST financial status
Manage and optimize bank and investment balances, including forecasting cash flow as needed.
Effectively communicate and present critical financial information to the Board of Directors.
Ensure compliance with federal, state, local and organizational laws, regulations, guidelines, and best practices including but not limited to tax laws, generally accepted accounting principles (GAAP) and grant compliance
Human Resources
Service as the Human Resources Officer for the school regarding policies, contracts, higher level human resources issues and external reporting for Accreditation.
Contribute to positive employee work experience; participate in onboarding and provide guidance on performance management to supervisors.
Oversight management of payroll and benefit plan administration in collaboration with POSH & 3rd party benefit consultant.
Initiate annual employment contract renewal process in cooperation with the President-Rector’s office.
Act as resource for all policies outlined in employee, faculty, school, formation and student handbooks
Oversight of the annual staff review policy including staff advancement pathway process and updates to procedures as necessary.
Provide council for salary negotiations and maintain salary survey information
Train and support newly hired supervisors at all levels.
Employee Handbook policy review and update management, on a tri-annual basis.
Technology, Facilities and Food Service
Strategically determine the technological needs (both I.T. and telecommunications) of the school and propose solutions and lead implementation.
Oversee 3rd party IT service provider to ensure a safe digital environment and faculty and staff have the technology needed to be successful
Lead and inform the Director of Plant Operations for a safe, secure and efficiently managed seminary and school environment.
Facilitate conversations and understanding of dietary needs of the school community, including the Monastery.
Oversee 3rd party food service provider to ensure efficient and effective use of SHSST resources and a positive experience for those utilizing the service
OTHER RESPONSIBILITIES
Serve as member of President’s Council
Serve as member of Rector’s Cabinet
Attends and presents financial information to the Faculty Council meetings.
Serve as member of Executive Committee of the Board of Directors
Serve as a member of the Finance Committee of the Board of Directors
Education and Experience
A Master’s Degree in Business Administration or related field with an undergraduate in Accounting or Finance is required.
Minimum of five years of experience as a senior financial or business operations leader.
BOD presentation experience and excellent social interaction skills.
Higher education and/or nonprofit organizational management experience is preferred.
Human Resources management experience and knowledge is preferred.
