Michael Best is seeking an Office Services and Reception Specialist for our Milwaukee and Waukesha Offices. This position requires 35-45 hours a week, Monday-Friday from 8:30am to 5:00pm, with some flexibility considered. We anticipate this person will spend the majority of workdays at the Milwaukee location, with some shifts scheduled at Waukesha as business needs dictate. On rare occasions, additional hours (earlier mornings, evenings, or weekends) may be required for specific events, projects, or initiatives.

The Office Services & Reception (OSR) Specialist will be the first point of contact for all clients, visitors, and employees and must enjoy providing efficient, gracious, and professional customer service. Additionally, they will assist attorneys by drafting documents and correspondence, managing calendars, managing conference room reservations and set-ups, processing onsite inventory and supplies ordering, and in general, assisting with other projects on an as needed basis.

Responsibilities & Duties:

  • Light general office and clerical responsibilities; monitor phones, order office supplies, process mail/FedEx
  • Working a rotation of shifts at the Reception Desk
  • Serving visitors by greeting, welcoming, and directing them appropriately
  • Notifying Firm's personnel of visitor arrival
  • Setting and cleaning up conference rooms for meetings
  • Working with the Administration & Operations Manager to manage space planning and facilities requests
  • Offering administrative support across the office
  • High School Diploma (or equivalent) minimally required; higher diploma or degree preferred
  • 2+ years' successful experience in customer-service, administrative support, and/or office services roles
  • Prior successful experience in a professional services office setting is preferred
  • Strong organization skills and high attention to detail
  • Excellent verbal, written, and interpersonal skills
  • Ability to effectively communicate with various levels of the organization and with clients/visitors
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Team player mentality, with a desire to be a part of a collaborative, high-performing group
  • Proficiency in MS Office programs, including typing and proofing skills
  • Valid authorization to work in the US
