Job Description
Heritage Senior Living is seeking an Executive Director to join our team!As one of the country's industry leaders, we provide exceptional senior care and services throughout Wisconsin. Heritage Senior Living's goals are to enhance residents' quality of life and to continue its growth and success. Our plan is to open one to two new senior communities per year and develop centers of excellence that provide comfort, care, quality, and specialized dementia services.The executive director is responsible for the overall operations of the community including clinical, life enrichment, culinary, housekeeping, marketing and maintenance departments. Reporting to the chief operating officer, the senior executive director ensures that the community meets all regulatory compliance requirements, fulfills staffing needs to provide residents with high quality care, and is a leader in customer care. document as needed and inform appropriate teams and families in a timely mannerMonitor quality processes utilizing Heritage audit formEvaluate quality customer satisfaction survey and create/execute improvement plansEnsure proper respect, dignity, privacy and quality of life for all residentsReduce or maintain psychotropic medicationsEnsure respect of policies and procedures at 90%-plusAchieve an 80% customer service ratingComplianceMaintain quality work conditions (including but not limited to break room, schedules, uniforms, etc.)Ensure all aspects of regulatory compliance are met for a CBRF/RCAC community, including workers' compensation, Fair Housing and OSHADemonstrate a working knowledge of HFS 83 and HFS 89 regulationsDemonstrate a working knowledge of risk management and quality care indicators and effective management of these areasFollow all HIPAA regulationsMaintain files on any inspections, certifications, license renewals, surveys and sentinel eventsCommunity RelationsMaintain positive working relationships with local ombudsmen, health inspectors, fire department or any other inspection organization; notify regional director immediately of any inspecting organization entering the buildingMake frequent community tours to ensure the property is clean and well- maintainedMaintain updated knowledge of community resourcesProtect and promote Heritage's reputation and track it through referrals and decreased concerns, complaints and sentinel eventsSales and MarketingCreate and promote an effective sales culture in the communityOversee all aspects of the on-site marketing program, including phone inquiries, tours, and follow-up callsFollow up to ensure consistent marketing in the community; manage community outreach programs and assist in strategic marketing with referral sources to execute operational and clinical approachAct as a resource on issues concerning aging and seniors to a variety of audiencesManage admission, discharge, and transfer processesMeet with resident or responsible party to ensure that proper expectations have been communicated and resident needs can be metEnsure that new resident information is completed prior to move-inMaintain integrity of the HSL brand and adhere to all brand requirementsMeet or exceed 95% occupancy, demonstrating year over year improvementMarketing and Life EnrichmentDevelop and communicate marketing and life enrichment eventsEnsure that activities are proposed to all residents Involve employees in activitiesIntegrate art, physical activity as appropriate, culinary, animals, socialization, etc. into activity calendarBudget, Financial Management, Performance MetricsMaintain fiscal and budget responsibilities in all daily operationsEnsure budgetary compliance and profitabilityComplete the monthly variance reportsGenerate monthly billing and timely account receivablesMaintain timely census data and reportsTrain department managers in understanding their budgetary responsibilitiesParticipate in the annual budget processManage Rhythm of the BusinessCommunicate the corporate strategy to key constituents in the communityParticipate in corporate office meetings and trainingsCreate, utilize, and update a community action planEngage families to ensure that expectations are being met or exceededMaintain strong communication and organization with residents, families, and teams regarding food, life enrichment, MC, and quality surveysConduct individual meetings (30 days and ISP reviews) and monitor and document concernsOrganize and lead a weekly leadership staff meetingEnsure the occurrence of a daily care focus meeting each shift on a daily basis per policyOrganize and participate in the manager on duty programOversee and participate in weekly on-call programReport all sentinel events to the regional operations directorSubmit/generate all required reports on a timely basisDemonstrate proficiency in MS Outlook, Word, Excel, and PowerPointRepresent company standards of professionalism and appearance at all timesPeople ManagementAdhere to company HR policies, procedures, and all applicable regulationsManage hiring, training and development, assessment and supervision of all employeesManage the employee performance appraisal processEnsure a schedule is maintained for appropriate staffing in all departments on all shiftsEducate staff through flash trainings and all-staff training days.Complete annual staff performance evaluationsApprove new move-ins for financial criteriaEssential FunctionsTo perform this job successfully, an individual must be able to perform each essential duty.
