Performs general reception duties and general clerical duties to maintain an efficient operation at the front desk area. Assists residents, visitors and staff requests. Acts as the first contract person for all visitors. Provides front line security. This position is on an "needed basis".
Maintains the order and cleanliness of the reception area in order to provide a professional ambiance
Greets and monitors visitors coming in and going out of the building
Answers phones for incoming calls, directs calls to appropriate person(s), handles inquires as necessary
Works closely with administration
Exhibits a professional personal appearance, dress and demeanor
Ability to display the ultimate in patience and understanding with residents at all times, and offer superior customer service (i.e. assist them with simple tasks, locate information for them, place telephone calls when needed, provide direction to activities, etc)
Effectuate communications between 2nd and 3rd shift personnel as to events which may arise during their shift, including but not limited to, resident health concerns and monitoring, building heating/cooling issues, elevator outages, weather alerts, staffing concerns, etc.
Distributes mail and in-house communications to appropriate staff and residents
Processes a wide variety of inquiries and tasks
Monitors security screens and building entry. Follows security procedures, i.e. visitors signing in and out and distributing visitor passes, etc. Notifies appropriate personnel of potential problems that are observed
Monitors and reacts within prescribed policy to emergency boards and systems located at the reception desk, such as fire warning panels, pull cord alarms, etc.
Acts as disaster procedure liaison in case of emergency (i.e. notify the appropriate personnel of emergency situations, notify Jewish Home and Care Center front desk of situation, etc.)
Makes announcements as necessary for entire building, or floor by floor, for both residents and staff
Coordinates and communicates residents housekeeping and maintenance issues
Maintains resident contact lists and rosters
Assists other departments with written communications as necessary
Maintains office supplies inventory and order supplies as needed
Participates in interactions with residents and families that contribute to a positive lifestyle for residents
Performs other duties as assigned
High school diploma or equivalent
Receptionist or administrative experience
Proficient in Microsoft Office
Good organizational skills and phone etiquette
Sufficient education to demonstrate spoken and written English.
Demonstrates strong communication and relationship building skills with residents, and is able to explain residents’ needs to others as needed for resident advocacy.
