As a Referral Manager, you will have overall administrative responsibility for the organization, direction, and management of the referral management team, along with long-term strategic planning. The Referral Manager establishes and maintains policies and procedures to ensure compliance and consistency that supports excellent and positive patient experiences. This role manages, leads, and inspires referral center staff and collaborates with hospital and ambulatory operations leadership.

The Referral Manager is accountable for all activities related to workflows, performance data, and overall management of the operations and cross-functional areas to maximize referral efficiency, optimize the consumer (patient, family, referring provider) experience, and encourage strong internal provider partnerships. 95% of the year is work from home!

Responsibilities:

  • Provides leadership, strategic direction, and oversight for the referral management operation.
  • Manages, coaches, and provides referral coordinators training; ensures they follow company policies and processes.
  • Accountable for employee development & management, including but not limited to recruitment, training, coaching and development, resourcing planning, and issue reporting.
  • Conducts monthly referral coordinator meetings and weekly visits to medical centers.
  • Works closely with the Management Team and Administrators concerning strategic business planning.
  • Implements continuous process improvements to enhance operational efficiency and quality.
  • Manages Referral Approval Process by using process improvement techniques to provide a streamlined process and standard work for the referral team.
  • Analyzes Referral Workflow Report and generates weekly analysis reports, and sends to referral coordinators.
  • Conducts site visits to service providers, resolves issues, educates staff/providers on policies, and certifies specialists with the support of the Director of Appointment Services.
  • Engages IT partners to ensure the referral department employs the optimal software, hardware, and technology.
  • Develops effective and efficient cost-saving strategies
  • Collaborates with network leaders to identify network gaps.
  • Works with providers and organization staff to resolve the issue and monitor recurrence by identifying root causes of problems and trends; participates in developing solutions.
  • Other duties as assigned and modified at the manager's discretion.

Knowledge - Skills - Abilities

  • Knowledge of products, services, standards, policies, and procedures in a healthcare environment
  • Network Management experience/understandingUnderstanding of Medicare, parts A, B, and D.
  • Proficient in Microsoft Excel, Outlook, and WordWritten and oral fluency in English.
  • Ability to effectively communicate with employees, patients, and other individuals in a professional and courteous manner.
  • Ability to pay close attention to detail and to ensure the accuracy of reports and data.

Position Requirements:

Minimum Qualifications:
Appropriate experience may be substituted for education on an equivalent basis.
Minimum education: High school diploma
Minimum experience: Five years leadership experience including working in the healthcare field or service required.

Preferred Qualifications:
Preferred education: Bachelor's or associate's degree (Healthcare Administration a plus) preferred.
Preferred Experience: Experience in physician group practice, ancillary scheduling, and referrals. Strong computer and electronic health record knowledge.Strong customer service experience.
