Job Description

From July 13-16, 2020, Democrats from all over the country will gather together in the City of Milwaukee to participate in the Democratic National Convention, where we will nominate the next President of the United States. The Democratic National Convention Committee (DNCC) is assembling a diverse team with skills in community engagement, event logistics, finance, operations, IT, and more under the leadership of Tom Perez, Chair, and Joe Solmonese, Chief Executive Officer. The DNCC team will oversee and deliver on all aspects of the planning and execution of this Convention, from housing the delegates to convening Platform Committee meetings to producing the Convention's live programming, which will be seen by hundreds of millions of people around the world.

SUMMARY

The Convention Facilities Department, within the Office of the Senior Director for Operations, oversees the logistical planning of all DNCC related events taking place at the Wisconsin Center, Mile High Life Theatre and the Panther Arena. During Convention week, these three venues combined, will be the home to most daytime activities of the Democratic National Convention, hosting over 125 events. Delegates, party leaders, staff, security, the media and invited guests will attend DNC Caucus and Council meetings, panels, training and many other events throughout each day of the Convention. The Convention Facilities team works closely with DNCC Public Engagement, Security, Transportation, Accessibility, Sustainability, Credentials, Communications and IT departments to ensure a safe, accessible and enjoyable experience for all participants of the Convention.

REPORTING STRUCTURE
  • The Associate of Convention Facilities reports directly to the Director of Convention Facilities.

KEY RESPONSIBILITIES
  • Coordinates the Director's schedule.

  • Handles all administrative tasks for the Director and the Department.

  • Maintains and updates the Department operations plan.

  • Prepares Department weekly event management report for submission to the Director of Convention Facilities.

  • Processes all necessary invoices for the Department.

  • Coordinates all Departmental staff meetings.

  • Works with Department staff to maintain archival documents.

  • Working closely with DNCC Communications and Media Logistics, assists in the implementation of a Convention Facilities media plan.

  • Working closely with DNCC Transportation, assists in the implementation of a Convention Facilities transportation plan.

  • Works with the Director and other staff on various special projects.

  • Ensures customer satisfaction throughout each phase of the event planning process.

QUALIFICATIONS
  • Ability to maintain strong client relations and ensure that Convention specifications are communicated and executed for a successful Convention experience for all participants.

  • Develop a strong sense of teamwork to foster team building and provide excellent customer service to other DNCC Teams. Interact with others in a way that builds openness, trust, and confidence in the pursuit of organizational goals and ongoing relationships.

  • Exhibit outstanding interpersonal, presentation and communication skills.

  • Strong attention to detail and exemplary problem-solving and organizational skills.

  • Maintain confidentiality and represent the Director and Department in a professional, welcoming and responsive manner.

  • Demonstrated ability to work under pressure, remain flexible and adjust to situations as they occur, and meet tight deadlines in a fast-paced environment.

  • Demonstrated willingness to step into various roles as needed.

  • Ability to be flexible with work schedule, including nights, weekends and holidays.

  • Previous event management experience helpful but not required.

  • Familiarity with Democratic politics and State Party organizations a plus.

  • Knowledge of Microsoft Office and database management required.

  • Willingness to be a proactive team member to help accomplish the goals of the Convention.

WORK ENVIRONMENT/PHYSICAL DEMANDS

The DNCC will mainly operate out of the Headquarters Office, but will also maintain a number of satellite offices and additional venues. All of these spaces are professional office environments, and will require the operation of office equipment such as computers, phones, and copy machines. This position mainly uses an assigned workstation but may require movement or maintaining a stationary position for short or long periods of time. Employees may be asked to do tasks requiring dexterity or lifting items weighing up to 15 lbs. All employees may request a reasonable accommodation to perform their job tasks.

JOB LOCATION: Milwaukee, WI

TRAVEL: There is no travel expected for this position.

FLSA ELIGIBILITY: This is a non-exempt position under the FLSA.
