ExecutiveAssistant to the CEO
Position Purpose
The Marcus Corporation is seeking anapplicant that possess a strong career history of working as an executiveassistant, ideally supporting and reporting directly to C-level executives. Theselected candidate will be the go to person and the gate keeper for theexecutive office and must feel confident and comfortable in communicating withexecutive level professionals in an efficient and effective manner.
EssentialFunctions
Manages dailyschedule of the CEO and the Chairman of the Board to include additions andchanges to calendar as needed
Managing dailyschedule to include additions and changes to calendar as needed
Monitoring andmanaging multiple Outlook mailboxes
Planning,scheduling and organizing complex activities such as meetings, conferences andother miscellaneous projects/events
Managing travelschedule including flight and other transportation arrangements
Creating, organizing, anddeveloping written, verbal and/or visual presentations
Managing and preparingcorrespondence and miscellaneous reports
Expediting the flowof work to ensure all deadlines are met and follows up as needed withexecutives, division leadership and staff, customers and other externalcontacts
Maintaining filesand follow-up system for department correspondence, including handling andprioritization of mail
Providing phonecoverage, ordering supplies, processing invoices and expense reports
Assisting withmiscellaneous inquiries and requests from public via the corporate website,email or phone
Communicating andcoordinating duties with other executive level administrative assistants toinclude providing backup support as needed
Performing allduties in accordance with the Code of Conduct and in a discretionary andconfidential manner
Tracking reportgeneration and collection, ensuring timely reception from various divisions, departments, groups, and entities
Managing technologyresources and support
Reviewing internal,external websites and publications for information, articles and reports thatmight require the follow up of leadership
Coordinatingactivities with internal and external marketing and PR offices
Various otherprojects and related tasks as assigned
PositionRequirements
3-5 years of progressive experience required; 5 years of experience strongly preferred
Ability toorganize, prioritize, and handle multiple time-sensitive tasks with discretionin a demanding environment
Flexibility withwork hours
Proven projectmanagement and problem solving abilities
Ability to workindependently with minimal direct supervision
Substantial anddemonstrated poise, tact, and diplomacy
Excellent writtenand verbal communication skills
Detail orientationin composing, typing, and proofing materials
