Job Description

Role and Responsibilities

This position is primarily responsible for managing the daily activities of the Office of the Milwaukee Urban League President & CEO, representing and communicating the interests of that office to the Board, senior level managers, members, employees, and the public.  The incumbent provides executive level administrative and clerical support for the President & CEO. The expected outcomes listed below apply to performance expected for each position to whom incumbent reports.

Essential Duties and Responsibilities
  • Organize meetings, schedule appointments and maintain President’s calendar
  • Register President for meetings, seminars, and social events. Includes; call or mail-in registrations, and initiating the check request
  • Ability to discreetly and professionally screen calls and accurately take messages if necessary
  • Prepare and distribute minutes for Board of Directors meetings and other agency meetings as needed
  • Prepare and self-edit correspondence
  • Manage all communications from and to in-person visitors, telephone callers, and written correspondence
  • Multi-task and prioritize President and office/agency needs on a daily, weekly and monthly basis
  • Prepare and maintain Board of Directors and Staff contact information
  • Serve as agency support for Board of Directors
  • Conduct agency mailings
  • Setup and maintain all databases (mailing lists, membership lists, community lists, etc.)
  • Order and maintain office supplies for administrative area
  • Order business cards for Staff
  • Provide support for all agency sponsored events and meetings as needed including; EOD Luncheon, Black and White Ball, manages’ meetings, staff meetings, Board meetings, and community events
  • Development and distribution of the agency brochure, assist in the development of the annual reports, and other formal communications
  • Greet agency/administrative visitors
  • Keep administrative files organized and accessible
  • Other duties as assigned by President & CEO

Qualifications and Education Requirements

  • Undergraduate degree in liberal arts, human resources, or general business and at least five years of related experience
 PREFERRED SKILLS
  • Experience in managing confidential data, work within deadlines, and occasionally under tight time constraints
  • Professional demeanor, high level of integrity and honesty, adaptable to changing priorities
  • Possess the ability to manage multiple projects, to interact with diverse groups & individuals
  • Computer skills; proficient in Microsoft Office and Adobe Acrobat
