Position Description

At Planned Parenthood of Wisconsin, Inc. (PPWI), our goal is to provide superior health services, education, and advocacy. With 180,000 outpatient visits annually in 28 health centers statewide, we are a leader in family planning! This is an excellent opportunity for a Center Manager (40hrs/wk) at our Wisconsin Avenue family planning clinic located in Milwaukee, Wisconsin.

PURPOSE of POSITION: Under the direction of the Regional Director, the Center Manager provides leadership and direction within the health center to support a team-based, customer-focused, results oriented service model that achieves clinical, operational and financial goals. Responsibilities include management of operations, staff supervision, and oversight of services provided to patients in accordance with approved current medical standards, policies and procedures, patient services parameters, and business management operations, while providing commitment to quality healthcare and excellent customer service. The Center Manager also provides direct patient care, consistent with his/her level of training, licensure and/or certification, and in accordance with PPFA and PPWI medical standards and guidelines.

QUALIFICATIONS:

  • Willingness and ability to work a flexible schedule, including evenings and weekends.
  • Excellent customer service skills, organizational skills, communication skills, and problem solving skills.
  • Ability to perform basic financial and mathematical calculations.
  • Proficient in Microsoft Office Products and demonstrated computer skills.
  • Strong leadership, goal-setting and team building skills essential.
  • Experience working with diverse personnel.
  • Clinical skills to operate basic clinic and lab equipment essential to performing the job (i.e. scales, urine collection and testing, blood pressure equipment).
  • Ability to handle sensitive information in a confidential manner.
  • CPR certifiable
EDUCATION and/or EXPERIENCE: Bachelor’s Degree and two years in a medical environment required, preferably in a family planning setting or an OB/GYN Office.

Must have demonstrated supervisory experience. Current licensure, degree, or certification as a registered professional nurse or a medical assistant/health care education desired. Budgetary experience and/or responsibility preferred.

Five years of experience in a medical office or Planned Parenthood facility may be substituted in lieu of the educational and experience requirements outlined above.

WORKING CONDITIONS: Must have own reliable transportation. This position requires occasional traveling within the cluster, therefore a valid driver’s license and auto insurance in accordance with agency liability standards is required.

Evening and/or weekend hours are necessary.

ESSENTIAL DUTIES and RESPONSIBILITIES:
Operations
  1. Responsible for the day-to-day management of all health center(s) activities within defined cluster.
  2. In collaboration with the center Clinicians, Regional Director, and Patient Services Administrative Team, develops, implements and improves operational initiatives to ensure high quality, service excellence and efficient care to PPWI patients.
  3. Maintains thorough and complete knowledge of all PPWI policies and procedures regarding managing health centers and clinical operations. Reviews new and existing policies and procedures with all health center staff on a regular basis.
Financial
  1. Monitors all key indicators and drivers of success, including patient numbers, no-show rates, on-site fee collection, and patient revenue and donation goals.
  2. Prepares annual operating budget, capital budget and operating plan in coordination with the Regional Director.
  3. Monitors monthly financial statements against operating budget for fluctuations in variable expenses, staffing ratios, on-site fee collection and patient donations.
Staff Management
  1. Supervises clinic personnel. Interprets and ensures compliance with PPWI personnel policies, procedures, including credentialing process, new hire and termination paperwork.
  2. Ensures that all staff understand and adhere to policies related to center operations.
  3. Conducts regular staff meetings to discuss center operations, monitor clinical directives and changes in service delivery and problem solve about customer service or other center issues as applicable.
Customer Service
  1. Creates environment that stresses patient courtesy and responsive service delivery.
  2. Monitors and ensures patient access to medical care.
  3. Resolves patient complaints and request for service promptly and courteously.
Public Relations
  1. Maintains cooperative arrangements with building management, tenants and community resources to provide for facility maintenance and security.
  2. In collaboration with Regional Director, establishes and maintains contact with local health agencies and community organizations with which PPWI has current patient care contracts and/or relationships.
