The Opportunity is in-office 5 days a week in DTLA.

Responsibilities will include:

  • Provide primary Executive and Administrative support to the Operating Group leadership team and other Business Leaders.

  • Office management - greet visitors, answer general inquiries and direct inquires to the appropriate person or department. Maintain a tidy, organized and welcoming office environment. Manage office supplies and equipment and process office-related vendor payments. Manage requests for building access and security protocol.

  • Perform complex calendar management - both internal and external coordination & scheduling with all levels of the company

  • Support travel coordination and logistics for west region office meetings and events. Support the expense report process as needed.

  • Prepare, review, and manage correspondence, memoranda, presentations, and various staff communications.

  • Independently research, collect, and prepare information for use in discussions/meetings of executive staff and external individuals.

  • Prepare presentation materials for meetings. Attend meetings and take notes if requested by Operating Group leadership.

  • Assist with special projects and tasks as assigned by Operating Group management

  • Analyze problems, determine approach, compile, and analyze data, and prepare reports/recommendations.

  • Contact company personnel at all organizational levels to gather information and prepare reports.

  • Respond to requests for insurance or licensure certificates.

  • Work collaboratively with other administrative team members.

Requirements:

  • HS Diploma or higher required or equivalent experience

  • 1+ years of experience as administrative assistant

  • Excellent communication and interpersonal skills.

  • Proficiency in all MS Office Suite including Word, Power Point, Excel, Teams, Outlook and others. Must be willing to learn new applications as needed.

  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.

  • Attention to detail and accuracy in all work.

  • Ability to work independently and collaboratively within in a team environment, anticipate the needs of business leaders and project managers, and proactively solve problems and otherwise contribute to the success of the organization.

  • A 'can do' attitude and ability to thrive in a fast-paced environment.

Compensation Range:

$44,767.00 - $59,689.00
