Job Description

Within the framework and objectives and policies established by the Campus Administrator, the Resident Services Assistant assists all Welcome Center staffing and services. Assists in coordinating the move out and move in processes. Facilitates and actively participates in the resident lease renewal process. Facilitates and/or performs a variety of administrative, accounting and clerical functions. Performs tracking of resident information through the resident databases. Coordinates administrative functions in conjunction with the Campus Administrator and Resident Services Coordinator.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Generates annual Residency Agreement renewals. Coordinates the renewal process including scheduling and meeting with residents and completion of annual apartment inspections.
  • Creates new resident files. Maintains and updates resident information database and files.
  • Monitors all pendants and pull cords and complies with required testing.
  • Ensures inventory of and all ordering of office supplies and housekeeping supplies.
  • Creates and processes invoices and maintains vendor files.
  • Manages Door King Entry system.
  • Manages garage door openers and pendants; maintains assignment of garage and storage spaces.
  • Oversees accurate production of Resident Phone Directory.
  • Works with receptionists to manage workable inventory of carts and wheelchairs for resident use.
  • Assists in maintaining onsite employee files.
  • Assists in providing walk-in tours as directed by Campus Administrator.
  • Files, uploads, and maintains accurate records of lease-related documentation with Community Services Director.
  • Ensures resident name plates and welcome signs are ordered and placed by apartment prior to move in.
  • Is knowledgeable in and capable of making data entries in the property management software.
  • Participates in new resident orientations and welcome events.
  • Reviews/prepares correspondence and reports including the compilation of data as obtained from a variety of sources and responds to written and telephone inquiries as directed by the Campus Administrator.
  • May be required to work in other departments to perform tasks as required by the campus and as requested by Campus Administrator.
  • Conducts, attends and participates in departmental meetings, in-services, training, and community events as required.
  • Acknowledges, comprehends and supports the residents and the Resident Bill of Rights.
  • Maintains confidentiality of both residents and staff.
  • Complies with all required local, state and federal regulations.
  • All other duties as assigned.

QUALIFICATIONS:

  • Must be a high school graduate although college education is preferred.
  • Minimum of two years administrative experience required.
  • Ability to read and understand written or verbal labels and instructions in English.
  • Ability to work cooperatively as a support staff with all departments of the organization.
  • Availability to work nights and weekends.
  • Comfortable performing tasks, jobs, and/or projects in conjunction with day-to-day activities.
  • Computer literate with accurate data entry skills, and familiar with Microsoft Word and Excel.
  • Effective communication and interpersonal skills with the ability to work harmoniously with supervisors, peers, and subordinates.
  • High energy level, well organized, and the ability to perform short-cycle, repetitive tasks.
  • Maintain professionalism in all verbal and written communication and actions.
  • Must pass required pre-employment tests and screenings.
  • Prior experience working with the geriatric population preferred.
  • Strong interpersonal skills, tactful, mature, flexible, and possess the ability to get along with diverse personalities.
  • Strong organizational skills with the ability to multitask and set and enforce stringent standards.
