Job Summary:

The University of Wisconsin Law School seeks a conscientious, diligent, amiable and detail-oriented candidate to serve in this role that will support student, alumni, and faculty events. This position will serve as the administrative support and coordinate a variety of events that support the vision and mission of UW Law School. This position will provide support for events held by a number of departments including External Affairs, Admissions, and the Dean's Office. This position will be under the highly motivated and supportive External Affairs Department and will work closely with the events team within the External Affairs Department to successfully implement a large portfolio of events. This role will provide logistical, budget, communication, and administrative support for several small and large annual events that highlight a number of different strategic interests.

Duties as the Faculty Events Manager will include:

1. Performs on-site event set-up and clean up and may perform basic custodial duties.
2. Greets customers/guests, assists with registration, answers questions, and provides routine information, prepares name badges and other related event materials, referring more complicates issues to appropriate entities.
3. Assists with scheduling logistics and securing resources for vendor services.
4. Gathers, maintains, and later distributes accurate event data and records.
5. Assists with the creation of promotional materials and resources for events.
6. Guides and trains student workers
7. Develops, writes, and edits online communications, webpages, and emails.
8. Manages the inventory of merchandise, consults with the Event Associate Director about new items, order more inventory when necessary, work with vendors and manage online store.
9. Assists with other duties deemed necessary to the day-to-day operation for External Affairs, including income and expense reports, research, data collection and other duties.
10. Management of logistics and support of Law School External Affairs events and meetings.

Responsibilities: Assists with event planning, set-up, execution, and documentation to ensure events meet customer needs.

  • 30% Assists with scheduling logistics and securing resources for vendor services
  • 15% Gathers, enters, and maintains accurate event data and records
  • 10% Assists with the creation of promotional materials and resources for events
  • 10% Guides and trains student workers

Education:

Preferred
H.S. Diploma

Qualifications:

Required:
Exceptional organizational skills and attention to detail.
Administrative or customer service experience in a fast-paced environment with competing demands.
Demonstrated written and verbal communications skills for diverse audiences.
Strong computer skills, including Microsoft Office applications and ability to learn other software applications.

Preferred:
Experience in events and/or event planning.
Experience in a higher education setting.

Work Schedule:

Office hours are usually 7:45am - 4:30pm, Monday - Friday with a 45 minute lunch break. Schedule is somewhat flexible, and minimal night or weekend hours may be needed depending on specific events (i.e. homecoming, graduation, etc.)

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
