Job Summary

CAMP Systems International seeks an Administrative Assistant who will be providing all departments with administrative and clerical support. Additional duties will involve scanning e-logs, maintenance records and other related documents, coordinating corporate travel, planning, and setting up office events, and other support/administrative duties. Must have the ability to work with various schedules; must have sound business judgement, excellent communication skills, and professional presentation. You will handle a wide variety of complex and confidential situations with diplomacy and discretion.

Responsibilities

  • Provide primary phone coverage as the office reception. Screen and route incoming calls
  • Greet and screen visitors to determine their need(s) and direct them to the appropriate person
  • Receive incoming faxes and distribute
  • Support employees by maintaining inventory of required office and kitchen supplies
  • Coordinate meeting scheduling with OEM Partner and CAMP offices
  • Scan documents and aircraft logbooks
  • Sort and distributes main and packages and ship packages via Fed-Ex, UPS, etc.
  • Performs other administrative/clerical duties as needed
  • Manage the conference room reservations
  • Place service calls on office equipment as required
  • Maintaining executive calendars and scheduling appointments, conferences, and events; including travel arrangements and preparing business expense reports
  • Maintain highest level of confidentiality with respect to the office and its departments
  • Coordinate and assist with projects as needed including preparation of spreadsheets, presentations, and reports.
  • Recording, transcribing, and distributing meeting minutes
  • Maintain and coordinate the inter-office Birthday and Anniversary schedule
  • Ensure the office care is properly taken care of
  • Place service calls on vending machines and make refund requests as required.

Requirements:

  • Bachelor's degree preferred or equivalent experience.
  • Two (2)-Five (5) years previous experience as an Administrator/Assistant or experience as a receptionist/office support in a corporate environment preferred
  • Experience working in and around aviation preferred
  • Must possess excellent communication and interpersonal skills
  • Experience in document management a plus
  • Advanced computer skills, superior proficiency level in Microsoft Office applications
  • Excellent ability to work with various peers in a strong team centered environment
  • Organizational skills with the ability to multi-task, prioritize and manage time effectively
