We are seeking an experienced Executive Assistant to join our team. This is a hybrid position and will be based in our Santa Clarita, CA office. In this role you'll responsible for supporting the Chief Commercial Officer of Princess, and Vice Presidents of the Commercial Planning team who report to Princess' Chief Commercial Officer - both domestically and internationally. Tasks include, but are not limited to, coordination of meetings; making travel reservations; data collection from POLAR and competitor web sites; scheduling events such as quarterly meetings and Team Work celebrations; coding and tracking of team expenses and vendor invoices (including the onboarding of new vendors into the vendor maintenance system); proofing, distribution and responding to various correspondence, internal policy and program release memos and company information; supporting team with IT requests, issues and follow up; mitigating onboarding and equipment challenges; assisting with presentation and internal memos in terms of preparation, distribution, and proofing; and special projects.

Responsibilities

  • Calendar and meeting coordination for multiple executives and Emergency Response Operations (ERO) primary points of contact (POC).
  • Travel (business and personal) coordination for multiple executives and additional team members.
  • Markview and pcard coding and approvals. Expense report creation.
  • IT requests and follow-up.
  • Proofreading and distribution of policy and promotion memos; aid with PowerPoint presentations.
  • Monitoring Dayforce and time off requests for multiple team members.
  • Facilitating FCRS, ship visits and concessions requests.
  • Coordination and monitoring of T&E budgets for multiple departments.
  • Assist with team building and morale events.
  • Assist with travel documentation when necessary, passports, visas, TSA.
  • Assist with the completion of team projects.

Requirements

  • 5 to 7 years supporting senior level management preferred
  • Ability to prioritize and manage multiple tasks simultaneously and to meet deadlines
  • Ability to maintain high level of confidentiality, accuracy, and attention to detail
  • Very strong written and verbal communication skills
  • Proficient in the use of MS Office (Outlook, Word, Power Point)
  • Working knowledge of Excel
  • Ability to remain neutral when asked to assess conflict or challenges
  • Willingness to collaborate outside of one's comfort zone

This is a hybrid role based in our Santa Clarita, CA office. Candidates must be driving distance and comfortable going into the office 3 days per week.

  • Base Hourly Range: $23.32-$31.49. The range is applicable for the labor market where the role is intended to be hired. Final base pay is directly related to each candidates' qualifications and experience uniquely.
