Job Function and Responsibilities

The Prospect and Portfolio Manager contributes to the success of the Chicago Zoological Society by managing all elements of the prospect research activity and portfolio management for the Development Department. These activities ensure a robust pipeline of potential donors and operational support through prospect and portfolio tracking to ensure revenue targets are being achieved.

PRIMARY JOB DUTIES AND RESPONSIBILITIES:

  1. *Conduct donor prospect development, analysis, and reporting. Evaluate current and prospective donors through data mining, predictive modeling, research and validation to inform and support fundraising strategies and outreach efforts. Manage, track and report on activity with constituent and prospect pools. Create and analyze development staff performance activity reports based on actionable information within the database.
  2. *Complete all research deliverables on a continual basis for Development and the President's office for prospect and current donors. Develop key staffing materials for Development driven events and meetings. Provide comprehensive research for all individual under consideration for future potential governance roles. Responsible for all governance report cards to aid the Nominating Committee in determining future Board involvement and eligibility.
  3. *In collaboration with the Development staff, is responsible for the maintenance, evaluation and updating of all revenue proposals in the database; including weekly review of gifts received, updating status changings and expected revenue targets. Responsible for sharing regular updates of revenue projection changes with Senior Leadership of the Development team for appropriate action.
  4. *Provide high level stewardship support for the President's office to ensure efficient management of the President's portfolio through preparation and communication of any donor meetings, events or targeted donor communications.
  5. *Coordinates Development department ongoing stewardship and donor contact calendars; providing regular updates to team and Senior Directors to ensure the program's initiative and goals are on target. Responsible for the coordination and execution of all departmental stewardship personalize mailings including holiday cards, birthday cards, etc. Maintains up to date, relevant donor acknowledgement templates and ensures each donor is properly acknowledged for their contribution.
  6. *Serves as the Development Department's internal project manager on new and continuing development initiatives ensuring that projects are well-coordinated, meeting objectives and contribute to the overall success of fundraising and organizational efforts. Other related duties as assigned.

Position Requirements and Specifications

POSITION REQUIREMENTS:

  • Associate's, degree in Liberal Arts, Communications, Business or other relevant field or four years of equivalent training/experience. High school diploma or (GED) equivalent.
  • Two (2) years of relevant experience in nonprofit organization or cultural institution.
  • Computer proficiency, including working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint, as well as the ability to work with donor database programs.
  • Ability to work independently, effectively prioritize, plan, organize and meet critical deadlines and work effectively under pressure.
  • English fluency at a full professional proficiency required.
  • Effective problem solving and sound, logical decision-making skills.
  • Ability to maintain the confidentiality of privileged information.
  • Flexible, cooperative team player.
  • Cultural competency; experience and/or ability to work and interact effectively with a diverse, multicultural audience.

DESIRABLE/PREFERRED QUALIFICATIONS:
  • Valid driver's license preferred.
  • Bachelor's Degree in Liberal Arts, Communications, Business or other relevant field.
  • Experience with Raiser's Edge or other CRM software database experience strongly preferred.
  • Ideal candidate will have experience with data and presentation visualization tools; as well as experience with project management background.
  • Understanding of how prospect research and management supports an organization's fundraising efforts.
  • Multilingual ability, Spanish fluency a plus.

This is a full-time position with regular work days Monday through Friday, however, some evening and weekend hours will be required to support programmatic needs and events.
