Job Summary:

This position provides primary administrative support for a grant from the HHMI Foundation to promote best practices and excellence in inclusive teaching in undergraduate STEM courses.

The position is part of the staff team in the Office of Undergraduate Studies and Advising within Weinberg College of Arts and Sciences, reporting to the director. Responsibilities for the ongoing grant include: tracking activity for grant reporting, processing financial transactions, planning and executing events, scheduling meetings, and managing websites. The person in this position may also provide or coordinate administrative support for exam-related student accommodations, in collaboration with the College's departments and programs and key offices such as AccessibleNU and the Office of the Registrar. In addition to grant-related responsibilities, this position also provides administrative support for the Assistant Dean for Curriculum and Assessment and processes such as: annual updates to the undergraduate catalog, the review and approval process for curriculum changes, and projects related to accreditation.

This position is 100% full time and works onsite three/four days per week and two/one day(s) remotely during the academic quarters, with the opportunity for more remote work during the summer and breaks between quarters.

Please note: Some evening and weekend hours may be required at times for special events

This is a grant-funded position that continues through October 2028.

Specific Responsibilities:

Financials:

* Manages grant budget and process expenses.

* Helps track and categorize expenses for grant reporting.

* Processes payments and expense reimbursements.

Grant Reporting and Website:

* Tracks and organizes information on grant activities for primary investigator and research administrators.

* Creates, updates, and maintains website with resources on inclusive teaching for faculty and staff.

Events and Meetings:

* Handles complex scheduling of regular meetings for deans, faculty, and outside committee members from partner institutions.

* Plans and executes events promoting inclusive teaching, including workshops for continuing and new faculty and monthly lunch seminars. These responsibilities may include:

* Room scheduling

* Technology set up

* Invitations and communications

* Catering and other logistics

* Processing all expenses

Collaboration and Coordination:

* Provides assistance to College departments and programs in managing student AccessibleNU accommodations in undergraduate courses, which may include:

* Identifying rooms for exam-related accommodations.

* Helping to identify graduate student proctors and managing proctoring budget.

Curriculum and Assessment:

* Gathers and tracks in databases information related to courses, degree requirements, and learning goals.

* Communicates with departments and programs on behalf of the assistant dean.

* Manages special projects related to curriculum and assessment.

Student Support

* Act as back-up to front office staff; at times may be called on to provide reception and other support to students and visitors, as well as scheduling of advising appointments and answering main phone lines.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

* One year of administrative experience including budgets, finance, grants, facilities, &/or human resources; or other relevant experience.

* Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting or related; OR appropriate combination of education and experience

Minimum Competencies: (Skills, knowledge, and abilities.)

* Advanced knowledge of Adobe Acrobat and Microsoft 365, especially Microsoft Excel, Word, and SharePoint.

* Prior experience updating websites through content management system.

* Strong oral and written communication skills.

* Demonstrated ability to take initiative and be proactive in problem solving.

* Ability to prioritize, multitask, and meet deadlines with excellent attention to detail.

* Demonstrated excellence in customer service.

* Demonstrated ability to work self-directed and manage long term processes.

Preferred Qualifications:

* Previous experience in higher education administration.

* Previous experience planning events.

The target hiring range for this position will be between $49,850 - $70,419 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
