Mount Mary College, Wisconsin’s oldest Catholic college for women is seeking an individual to contribute the realization of our mission through the role of Alumnae Associate. Consistent with the mission of the College, the successful candidate will reflect a commitment to social justice and a deep understanding and appreciation for the Catholic intellectual tradition, and a commitment to the education for leadership of a diverse community of women. The Alumnae Associate will plan and manage engagement priorities directed by the Senior Director and Assistant Director of Alumnae and Parent Engagement.
Under minimal supervision and using their own discretion, plan events for the career, spiritual and social events, including Alumnae Weekend. Create partnerships internally and externally to complete this work. Recruit alumnae volunteers as requested. Organize additional gatherings, and attend meetings as directed. Attend evening and weekend events when necessary.
Maintain organized files pertaining to functions of the Alumnae Association Board: agendas, minutes, committee members and minutes and procedures including award nominations. Maintain records such as the Association constitution and bylaws, reunion activities and event contracts. Attend all Association Board meetings and sub-committee meetings with the Director.
Manage the internal logistics for the Starving Artists’ Show® general chair, and sub-committee chairs and as approved by the Senior Director. Manage all appropriate correspondence to the artists as well as maintain the database of information on individual artists participating in current show. Recruit and manage the volunteers for the chairperson and manage communications with 200 day-of volunteers. In addition, the Associate will manage the social media use of Facebook for the Show. The Associate will attend and staff the Starving Artists Show with the Alumnae and Parent Engagement Department.
Data integrity: the Associate will meticulously maintain a current statistical record of alum deaths, name changes, address changes, marriages and births of children; The Associate will initiate new strategies to increase the number of e-mails. These statistical records and other sources of information will be used to compose alum bio notes for the Mount Mary magazine as requested. Execute Jenzabar Infomaker reports as requested and serve as Infomaker backup for the Graphic Design & Communications Associate.
Manage an accurate calendar of events, keep accurate files of events and projects, Provide meeting prep and manage alumnae/parent mailings - departmental and out-sourced. Supervise the work of department student workers.
Skills and Qualifications:
Bachelor’s Degree and at least 2 years relevant experience
Highly proficient computer skills: Microsoft Word, Excel
Excellent organizational skills
Ability to learn and execute functions of Jenzabar Infomaker.
Ability to pay close attention to detail
Ability to work on multiple projects simultaneously

Able to maintain confidentiality and high level of professionalism
