Mount Mary College is seeking an individual to contribute to the realization of our mission through the role of Administrative Coordinator for the Women’s Leadership Institute., Mount Mary College. The Administrative Coordinator position is a part time, 30 hour a week, non-exempt staff position responsible for the day to day advanced administrative support for the Executive Director and the office of the Institute, as well as, program support for leadership programming and events. This individual will be a key partner to the Director of Program Management and will act as a first point of contact for the WLI communicating regularly with many campus departments, external organizations and various stakeholders.
Essential Duties

Handle incoming phone calls, manage the ED’s calendar, maintain department calendar of events, schedule meetings and make travel arrangements.

Process paperwork for expense reimbursements, order and maintain office supplies, distribute incoming and process outgoing mail and general office support. Ensure timely processing of invoices and maintain accurate and comprehensive records of proposals, contracts, invoices, etc.

Provide support for various internal/external events, including, being on-site during the event to handle issues as they arise; Getting to know students and prospective “clients” helping to personalize our approach to educating, enabling and inspiring women leaders.

Coordinate and assist in planning leadership programming, including, but not limited to planning and implementation of workshop/event/seminars, including securing equipment, scheduling facilities for courses, events, programs, and meetings deciding upon the best location and time, preparing all materials and participant documents, gift and recognition items, maintaining records of satisfaction and achievement of outcomes and being on-site, as needed, during the event to handle issues as they arise .

Responsible for coordinating efforts for New Leadership retreat over the summer to ensure a successful event.

Assist in preparing materials for meetings and events, including, but not limited to, writing memos, working on Powerpoint documents, typing letters and taking meeting minutes.

Manage and create accurate “prospect” lists (emails, physical addresses) for various events, seminars, workshops and assist in communications and follow up with constituents of the Institute.

Represent the Institute at various internal/external events, getting to know students and prospective “clients” helping to personalize our approach to informing, educating, enabling and inspiring women leaders.

Minimum Position Qualifications (Appropriate education and/or experience may be substituted on equivalent basis)
Education: College Degree
Experience: 5+ years of progressively responsible administrative support experience
