Position Description

We are seeking an individual to contribute to the realization of our mission through the role of Assistant to the Executive Director of the Women’s Leadership Institute, Mount Mary College.  The Assistant position is part-time, 20 hours per week, with a Monday through Thursday schedule and working hours between 9 am to 2 pm. This position is responsible for the day to day advanced administrative duties required to support the Executive Director and the programs/initiatives within the Institute. This individual will act as a first point of contact for the WLI and will communicate regularly with many campus departments, external organizations and various stakeholders. 
 
Essential Duties
  • Handle incoming phone calls, manage the ED’s calendar, maintain department calendar of events, schedule meetings and make travel arrangements.
  • Process paperwork for expense reimbursements, order and maintain office supplies, distribute incoming and process outgoing mail and general office support. Ensure timely processing of invoices and maintain accurate and comprehensive records of proposals, contracts, invoices, etc.
  • Provide support for various internal/external events, including, being on-site during the event to handle issues as they arise; Getting to know students and prospective “clients” helping to personalize our approach to educating, enabling and inspiring women leaders. 
  • Assist in preparing materials for meetings and events, including, but not limited to, writing memos, working on Powerpoint documents, typing letters and taking meeting minutes.
  • Manage and create accurate “prospect” lists (emails, physical addresses) for various events, seminars, workshops and assist in communications and follow up with constituents of the Institute. 
  • Perform other duties as assigned.
 
Minimum Position Qualifications (Appropriate education and/or experience may be substituted on equivalent basis)
  • Education:        College Degree
  • Experience:       5+ years of similar support experience 
 
Knowledge, Skills and Abilities
  • Proficiency with Outlook, Microsoft Office Programs, including Excel.
  • Excellent customer-service with a friendly attitude.
  • Excellent oral and written communication skills are essential.
  • Demonstrates cooperation, courtesy and consideration when working effectively with varied people/stakeholders.
  • Detail-oriented, able to take direction, demonstrate initiative.
  • Able to maintain a high level of confidentiality and professionalism.
