Visitor Services has co-Visitor Services Coordinators who facilitate all aspects of customer service to walk-in guests, phone inquiries and individual and group visitation programming.
Responsibilities:
Respond to telephone and in-person inquiries from students, office staff, administration, faculty and the community and provide necessary information and/or direct to appropriate party. Process phone messages.
Prepare visitor packets for counselors with cover sheets including checking status of visiting students. Individualize each packet according to student needs. Include curriculum sheets, brochures, and take out materials if needed.
Prepare materials for admission committee meetings. Email meeting schedule and reminders to committee members. Attend admission committee meetings, record decisions and forward files to Admission Office Data Coordinator for processing.
Provide administrative support for the Office of Graduate Education including the processing of graduate assistantship tuition remission requests and sending to the Business Office.
Assist the Dean for Graduate Education and Graduate Program Directors in various academic processes including academic performance, reinstatement functions, withdrawal functions, data and records management and correspondence and communication.
Provide administrative staff support for the Graduate Council.
Submit and manage maintenance work requests on behalf of the Admission Office.
Complete requisitions for office expenditures and forward them to the Business Office for payment. Designate the appropriate expense accounts to be charged.
Coordinate breaks, lunch, vacation and sick days with office staff to insure that the front desk receptionist duties are covered at all times.
Co-supervisor of the Student Ambassador team; training, scheduling, projects, supervision, etc.
Check lock box in hall daily and distribute contents to appropriate staff.
Maintain and organize marketing materials in Visitor Center.
Attend weekly Visitor Services meetings and record/keep meeting minutes.
Perform other duties as assigned.
